About this file
This is an amendment (SF30 Form A0001) to RFQ #45310025Q0011 for the EXCEL Conference. The amendment makes three key changes: 1) Attaches Questions and Answers document for the RFQ, 2) Revises the Sample of Lodging Nights for 2025 and 2026, and 3) Adds language to CLIN 0005 regarding Audio/Visual Requirements for breakout rooms.
The Q&A document clarifies several requirements, including: hotels can bid directly without third-party organizations, proposals are due January 15, 2025 at 10:00 AM ET, contractors can bid for either 2025 or 2026 events or both, Atlanta is not a location option for 2026, a minimum of 400 hotel room nights is required for speakers/staff, overflow hotels must be within a 5-minute walk of the venue, and meeting space cannot be split between venues. The lodging sample shows requirements for both 2025 and 2026, with daily totals ranging from 15-550 rooms over six days, totaling 2,000 room nights per event. The A/V requirements specify that while the Institute will provide laptops and projectors, contractors must supply microphones, screens, flip charts, adapters, signage and internet access for all breakout rooms.
