About this file
This is a Questions and Answers amendment (A0004) for solicitation 45310025Q0011 regarding the EEOC's 2025 & 2026 EXCEL Training Conference. The Q&A clarifies several key points about the requirement:
Hotels can bid directly without third-party organizations, and proposals are due February 5, 2025 at 10:00 a.m. ET. Contractors can bid on either the 2025 event (Atlanta, GA) or 2026 event, or both years. The 2026 preferred locations are prioritized as: Detroit (1st), Minneapolis (2nd), Chicago (3rd), Denver (4th), San Diego (5th), and Phoenix (6th). The contractor must provide a minimum of 400 hotel room nights for speakers and EEOC staff. Other clarifications include: overflow hotels must be within a 5-minute walk of the meeting venue, meeting space cannot be split between venues for 2026, and a VCR is required for recording purposes. The amendment also confirms that one camera setup will suffice for capturing presenters, rather than a multi-camera production.
