About this file

This document is a comprehensive Cost Proposal Worksheet for the Los Alamos County RFP26-06 Court Case Management Software procurement. The county is seeking a software solution to support case management and supervision management functions for the Los Alamos Municipal Court. The cost proposal template covers multiple aspects of the potential implementation, including implementation costs, software fees, services, travel and reimbursables, training, and payment schedules. The worksheet is designed to capture detailed pricing information across implementation, software modules, professional services, travel expenses, training options, and payment structures for up to 15 years of potential service.

The cost proposal emphasizes flexibility in pricing, with options for one-time and recurring costs across various service categories. The county prefers reimbursable costs to be rolled into subscription and service fees but may consider pass-through expenses with pre-authorization. The document outlines specific guidelines for travel reimbursement, including acceptable expense types and limits, such as coach airfare, standard mileage rates, per diem meals, and reasonable business-related expenses. Training costs and delivery methods are to be comprehensively detailed, with options for remote and onsite training, session recordings, and potential access to online training libraries. The payment schedule is expected to be milestone-based, with the county avoiding advance payments for services not yet rendered.
