About this file

This is a Scope of Work document for the State of Utah Office of Tourism's custom exhibition booth and operational services, issued by the State of Utah Division of Purchasing through the Governor's Office of Economic Opportunity. The project requires design, fabrication, installation, and on-site operational services for a custom exhibition booth at the U.S. Travel Association's IPW Conference across five consecutive years from 2026 through 2030. The booth will consist of two 10' x 20' sections positioned across the aisle from each other and must represent Utah's diverse tourism offerings, including the Wasatch Mountains, ski and winter attractions, and Southern Utah's national parks. The booth design must incorporate an open floor plan facilitating free movement and meetings, along with integrated storage space and charging stations. Annual conference locations include Fort Lauderdale, Florida (May 17-21, 2026); New Orleans, Louisiana (May 3-7, 2027); Detroit, Michigan (June 10-14, 2028); Denver, Colorado (May 19-23, 2029); and Anaheim, California (June 1-5, 2030). The contractor will manage all aspects of logistics, including pre-show shipment, on-site installation and dismantle, material handling, and daily cleaning services throughout each event.

The 2026 budget is established at $90,000, with a not-to-exceed ceiling of $100,000 for that year. This comprises $75,000 for the custom booth design, fabrication, project management, shipping, and labor, and $15,000 for operational and utility services, including electricity, electrical labor, material handling, and daily cleaning. The total contract value is not to exceed $800,000 over the five-year period, with annual cost evaluations conducted for subsequent years. This is a Request for Statements of Qualifications (RFSQ) under Utah Procurement Code 63G-6a Part 15 for design professional service providers and consultants, and vendors should not include pricing in their initial responses. The state will award the contract to the highest-ranked vendor through negotiation of fair and reasonable compensation terms. Excluded from the scope are catering and hospitality services, exhibitor badges, event registration fees, and booth footprint costs with the U.S. Travel Association.
