About this file

This is a Supplemental Information Letter No. 1 issued by the City of Salem Department of Finance Services, Contracts & Procurement Division, regarding Bid No. 245108 for Prescription Safety Glasses. The bid closing date is February 19, 2025, at 11:00 AM local time. The document provides clarification that both single vision and bi/tri focal lenses will be part of the package. The City requires that employees be able to visit a physical location for fitting, though on-site fitting services are not mandatory. The current safety glasses being used are generic scratch-resistant, polycarbonate clear lenses that meet ANSI Z87.1+ standards and fit over existing glasses.

This is a new contract with no current contract holder or existing pricing structure. The City envisions a process where employees can use their existing prescriptions from their own eye doctors and select from pre-approved styles/frames, which would then be fitted at a physical location. The City is not currently using off-site optical shops, and online ordering with self-provided measurements will not be acceptable. This clarification document addresses vendor questions about the current environment and desired future state of the prescription safety glasses program.

CONTRACTS & PROCUREMENT

SUPPLEMENTAL INFORMATION LETTER NO. 1

FEBRUARY 12, 2025

BID NO. 245108

FOR: PRESCRIPTION SAFETY GLASSES

CLOSING DATE: FEBRUARY 19, 2025 AT 11:00 AM (LOCAL TIME)

Dear Bidder:

The following are questions and answers received on this bid:

1. Who is the current contract holder?

a. We don't have a current contract holder for prescription safety eyewear.

2. What is the current pricing for this contract?

a. There is none since it's a new contract.

3. What safety frame styles are currently being used?

a. We are currently using safety glasses that fit over glasses. They're generic scratch-resistant, polycarbonate clear lenses that meet ANSI Z87.1+ standards.

4. Are on-site fitting services a requirement?

a. On-site fitting services are not required, but a physical location where employees can go to get fitted is (as opposed to employees ordering online and providing fitting measurements).

5. What is the employee ordering process for safety glasses?

a. We do not currently have a process, but we would like to have a one where employees provide their prescription that they already have from their own eye doctor, then they can choose from a list of pre-approved styles/frames which are then fitted in a physical location.

6. Are off-site optical shops being used for ordering? If so, which locations.

a. Off-site optical shops are not currently being used.

7. Under the safety eyeglass requirements only Bi/Tri Focal are listed and not single vision lenses. Are single vision lenses also part of the package for the employees?

a. Single vision lenses would also be a part of the package.
