About this file
This document is an FCM (Facilities and Campus Management) In-House Key Procedure sample document from the City of Tucson's Business Services Department for Request for Proposal No. 240058, specifically for Pest and Termite Control Services. The document outlines the contractor's procedure for handling city-issued keys and access badges for technicians performing services under the contract.
The key procedure details the contractor's protocol for key management, including a request for three sets of keys: one set with a current position holder, a second set with another position holder, and a third set to be held at the 24/7 Park Avenue Guard Shack for on-call technicians. The document emphasizes technician responsibility for key and badge safety, with the contractor taking financial responsibility for any lost items. In the event of a lost key or badge, employees are required to immediately report to their supervisor, who will then notify the FCM Contract Representative.

Re: Firm Name’s FCM In-House Key Procedure for Contract No. 240058 – 0#, Pest and Termite Control Services
Response to: FCM Key Procedures
Dear Firstname Lastname:
Below is an explanation of how the City of Tucson keys will be handled by our employees providing service under Contract No. 240058 – 0#, Pest and Termite Control Services.
We request three sets of keys be provided to First Last. One set of keys will reside with our current Position, First Last. The second set of keys will reside with our current Position, First Last. We request the third set of keys to be held at the 24/7 Park Avenue Guard Shack in order that our on-call technicians are able to pick up keys after hours or if a technician is sick or on vacation. Keys will be returned to the guard shack when the work is completed on the same day.
All badges issued to technicians for card access will be in the technician’s possession at all times.
Technicians will be responsible for ensuring the safety of City keys and badges. Technicians have been informed of the cost of lost keys and badges. Firm Name takes financial responsibility for the loss of any City key and/or badge, should this occur.
In the event a key or badge is lost, employees will report this immediately to their direct supervisor who will then immediately report the lost key and/or badge to the FCM Contract Representative.
Please contact First Last at emailadress or 520-###-#### if there are further questions or comments.
Sincerely, First Last Position mailto:emailaddress@tucsonaz.gov
