Q: Is there a warranty minimum you are looking for?

A: Preferably a 10 year minimum.

Q: Are you looking to coordinate the removal of the old furniture & the installation?

A: Yes, if possible, we would like some delay between removal and installation to allow Facilities Management a chance to work on rooms while they are empty.

Q: Will there be access afterhours to the building during removal and installation?

A: - Likely, we will have to talk with Facilities Management.

Q: Is there a dwg drawing available of the offices/building?

A: No, I only have a hard copy blueprint to work with.

Q: With only eight business days available from when the questions are due, would you consider extending the due date for this solicitation in order to modify any drawings/layouts that need to be changed based on how questions are answered?

A: We are extending the date that proposals are due to 6 October with this next solicitation amendment. The A06 Yakama Agency Room Breakdown document was a general representation or example of what we would like but can change based off of what the design part your company may present as part of the Offeror's Volume II - Technical Proposal. This was also the reason we gave proposers/vendors 3 days to attend the site visits. If we revise the SOW and the A06 Yakama Agency Room Breakdown document that will be posted along with the next solicitation amendment or the next one after this one.

Q: On the “Need by Room” tab, in Administrative Office 224, it gives the overall dimension of the room as 11 x16, but the graph page shows it’s 16x22. Which is correct?

A: 16X22 is correct.

Q: In 224A, Superintendent’s Office, the conference table is requested at 11’ long and has eight chairs around it. If the room is 16’ wide, an 8’ table with 3’ on each end would be needed to pull the chairs out with an additional 2’ to walk around the table. Would that be acceptable?

A: The Superintendent would like a 10-11 ft Conference table and is willing to give up a chair on the end if necessary.

Q: Around the conference tables in all spaces, the code “GC” for guest chair is around each of the tables. Would a five star base conference chair be a better requirement? I’m assuming the “GC” guest chairs in front of desks etc. would be more of a four leg upholstered stationary chair. Can you confirm?

A: No. We want the same model chair for all Guest Chairs throughout the Agency. The only exception would be the chairs in the BIA Conference Room (Agency 1st Floor) where the chairs along the wall of the conference room could be chairs with stow-away writing surfaces instead of GC with end tables. Chairs should be leather or vinyl, sled base, rated up to 250 lbs.

Q: In 224B, do you want the credenza to be a storage credenza with filing capacity or would you prefer a knee space credenza capable of having someone sit at it?

A: All credenzas need to be storage credenzas with shelving and/or drawers.

Q: In 224C, what kind of credenzas are needed? Storage or knee space? What kind of storage is needed in them?

A: All credenzas need to be storage credenzas with shelving and/or drawers. (Multi-use storage, can be same model for all).

Q: In 224C, how many mail slots in the mail sorter are needed? Do you have a picture of what you have in mind? What kind of storge? Filing? Hutch?

A: Free Standing mail sorters, at least 25 slots needed on top. Pull out drawers for literature / paper storage. Letter Size Stackable 30-Drawer Cabinet with Literature Organizer by Tennsco | NBF.com (nationalbusinessfurniture.com) as an example.

Q: In 224D, with the room being only 11’ wide, we recommend a 6’ table since you only need four chairs around the table. Will that be acceptable?

A: A 6 foot table would be fine.

Q: In BIA Conference Room, there is a 6’ tall partition with window called out, however, not indicated on the room layout. Is this something that is needed and if so, where is it to go in the room?

A: That is an error on the sheet, and a partition is not needed for that room.

Q: You have guest chairs called out around the conference table, would you prefer to have a five-star base conference chair around the table and similar “gallery” chairs around the perimeter of the room? If so, do you want any casters on the gallery chairs?

A: No five star base conference chairs for any of the conference tables. If you feel the sled base chairs would be too heavy, then we can do 4 post chairs with casters on the bottom. Casters at the table, and no casters on all other.

Q: In Room 203A, you request an office pod with table, which is describes as a “table and bench with acoustic panels for privacy.” Do you have a picture of what you need? It’s also described as 79x77. Is that 79” long and 77” high? It appears to be approximately 84x24 in the layout.

A: The layout is just an approximate of size and location, it is not intended to be precise in regard to the size of each piece of furniture.

79” Wide x 30” Deep x 77” High Nook Huddle Pod by Nook Pod | NBF.com (nationalbusinessfurniture.com) as an example.

Q: In Room 203A, would you consider a 6’ table due to what looks like limited space and only 6 required chairs?

A: Yes a 6ft Table would be fine.

Q: In all of the desks, do you want two sets of pedestals (drawers)? Typically, desks have two sets of drawers (1 qty box/box/file and 1 qty file/file). They can be attached with freestanding desks, but with height adjustable tables, they would need to be mobile pedestals. Is that what is needed for the desks in all offices?

A: Yes we are expecting a set of pedestals or file & lateral file combo for all desks. Mobile pedestals are preferred.

Q: In Room 203B, for the hutch over the credenza, do you want a tackboard and tasklight included?

A: Tackboard for all desks with hutches, but no task lights.

Q: In Room 217A, how many drawers do you want in the lateral files (not with storage on top)?

A: 2 drawers

Q: In Room 217A, it states “mobile partitions.” Are you requesting the panels have casters on the bottom? Or are you looking for just freestanding panels? In either case, there will be feet that support the panels and will stick out into the main walkway. Would you consider systems furniture that incorporates panels into the workstation design?

A:We would rather have more flexibility with the design and want free-standing panels.

Q: In Room 217A, is the FC filing cabinet intended to be a vertical filing cabinet and if so, how many drawers do you need?

A: FC is intended to be a regular or short filing cabinet with only 2 drawers.

Q: In 4A, the list states 48x24 height adjustable table, but on the layout it requests a 5’ table. Which size is required?

A: A 48” table would be better suited for the space.

Q: In 4C, how many slots are required for the mail sorter and what kind of storage is required?

A: Free Standing mail sorters, at least 25 slots needed on top. Pull out drawers for literature / paper storage. Letter Size Stackable 30-Drawer Cabinet with Literature Organizer by Tennsco | NBF.com (nationalbusinessfurniture.com) as an example.

Q: In 4D, do you want any electrical in the conference table. Industry standard tables are 12’, not 11’, would that size be acceptable?

A: All conference tables need electrical ports (no data required) and a 12’ table would be fine.

Q: In 4F, do you want any panels between any of the “l” shaped desks in the bottom of the layout or does it need to stay open?

A: It does not need to stay open, however, it was intended to have the hutch on the joining sides of both of those desks so that each would have privacy from the other.

Q: In 24B, how many drawers do you want in the lateral file (not with storage on top)?

A: 2 Drawers.

Q: In 1104A/B, do you want a portion of the “L” shaped desks to have height adjustable tables?

A: All desks should have height adjustable sections on them. U, L, and straight desks (Pneumatic height adjustment preferred).

Q: In 1104A, it lists glass white boards, but doesn’t show where on the layout. Are these needed?

A: No, they are not needed. That is an error on the sheet.

Q: In 1104A, it looks like the black lines are to be panels, however, there isn’t an indication of them on the list or shown as two lines like on the index. Are panels required? And if so, are they really needed between the two storage pieces that are back to back?

A: No, those are existing panels already in the space.

Q: In 1104B, is the black wall by the conference table an existing wall or a needed panel wall?

A: Existing temporary wall

Q: In 1104B, and for any of the straight height adjustable desks 48x24, are drawers needed? If so, what kind?

A: No drawers, just mobile pedestal (listed as FC, filing cabinet, right next to it).

Q: We specified all the storage pieces in each area as laminate. Is that acceptable, or would you prefer metal?

A: Laminate storage is fine for all pieces except for the ones in Forestry Office 3 (Agency Basement Floor) that are labeled as “Utility Storage Cabinet” these need to be heavy duty metal cabinets.

Q: Does the building have a loading dock? If there is no loading dock, where will we load/offload the truck?

A: There is not a loading dock. Where you will offload is dependent on where the delivery is occurring. For the first floor offices, they can be unloaded in the parking lot right by the front entrance and rolled inside. For the basement level offices there is a delivery bay, where items will be offloaded and rolled into a storage area, or further into the office space. At the Glenwood location, there is ample parking room, but multiple levels (small stairs) to come up, so either they need to be carried, or ramps will have to be brought by the delivery team.

Q: How far is it from the truck parking location to the installation location?

A: Once again, it depends on where you are unloading. There are multiple delivery locations and multiple offices across the building.

Q: Are there any stairs that the product will need to go up or down to reach the truck location? If so, how many?

A: There are small steps outside of the Glenwood Ranger Station prior to entering the building (2 at most), but then there are stairs within the building the furniture will need to be carried up.

Q: Do we have access to a passenger or a freight elevator to use for delivery to the installation location (if applicable)?

A: No

Q: Are any electrical or data cabling services required?

A: No

Q: Do we need to provide an electrician to attach the systems furniture to building power? If so, do we need to pull new circuits from the electrical panel or will we attach to existing power junction boxes at walls/columns?

A: Electricians will not be needed for installation. All furniture purchases should be plug in, no hardwiring, and if any modifications need to be made post-install, our Facilities Management will be the ones to address those concerns.

Q: The Solicitation Section 4.2 lists “Volume II – Technical Proposal” Will the Government please detail all the requirements of this volume and its evaluation factors? Or please confirm this volume is only for furniture specifications, BOM, and drawings, etc.

A: The Government requires the following information to be submitted as part of the Offeror's Volume II - Technical Proposal:

•Proposed technical approach to provide all personnel, equipment, tools, materials and supervision necessary to provide site/floorplan design, delivery, and on-site assembly of system furniture installation by February 1, 2024 and removal of old furniture at required locations.

•Approach shall address all elements of the Statement of Work (SOW).

•Proposed furniture specifications (including specific details such as colors, finishes, etc.), pictures of proposed furniture and any additional ancillary materials."
