BC-BID-26-11: IRRIGATION PARTS CATALOG AND ROUTINE

MAINTENANCE SERVICES

The County of Bergen desires to establish a twenty-four (24) month Parts and Routine Maintenance Catalog Bid for the provision of goods and/or services described elsewhere herein.

The County has determined that multiple contracts are in the best interest of the County, since it is anticipated that no single vendor can meet the various needs, in type and quantity, of the using agencies. The County does not guarantee a minimum purchase with any single vendor or an amount under the contract.

The vendor must be an official distributor for any catalog offered. Documentation of this fact must accompany each catalog. The county will not accept a catalog where the distributorship rights to that catalog are those of a third party.

The vendor must provide service when needed, if a third party is required for service the County has the right to contract third party for repairs outside of this Coop bid.

Catalogs must clearly identify the product name, specifications, packaging information, etc.

Prices must be listed in each catalog or in an accompanying price list, and the term “catalog” used herein includes the price list, if one is used.

The Prices(s) offered shall be in the form of a percentage decrease from the lowest price listed in the catalog. Any exceptions to the stated percentage decrease must be clearly listed with the bid submittal.

Vendor price increases, as reflected in a newly published catalog shall be honored. Vendors are permitted to submit price sheets or refer to vendor/manufacturer web pages. If vendor is submitting a price page pricing may only be updated once within a 12-month period. However, the percentage discount offered in the bid submittal shall not change over the life of the contract (24 months).

Vendor shall notify and supply the County of Bergen with the any new any price changes at least ten (10) working days prior to the increase price(s) becoming effective. No increase shall be retroactive. The vendor shall honor prices on orders placed prior to the County’s receipt of revised price(s). Vendor shall supply hard copy of pricing/catalogs if requested at no cost to the County.

Various Bergen County using agencies may order materials covered by the contract directly from the vendor, when and as required. These orders shall be covered by the issuance of a requisition number or County Purchase Order.

There shall be no minimum orders and no shipping charges. The vendor will be paid the catalog price, less discount, for each item purchased.
