About this file
This document is a Bid Q&A (Questions and Answers) for RFP 08DOA-S3284, issued by the Nevada State Purchasing Division for HVAC Preventive Maintenance and Inspection Services at the McCarran Center Buildings. The Q&A addresses four key inquiries from potential bidders, covering topics such as maintenance visit log forms, prevailing wage requirements, equipment lists, and clarifications on scope of work. Specifically, the document provides guidance on service reporting requirements, including submitting service reports on company letterhead to t.cooke@admin.nv.gov after each maintenance service, and detailing the expectation of yearly belt replacements and condenser coil cleaning.
The Q&A reveals that equipment lists for buildings MC 1-7 and MC 20-30 have been posted on the NevadaEPro attachments tab, with the state currently owning only those specific buildings. The maintenance scope includes comprehensive HVAC service tasks such as lubricating fan and motor bearings, inspecting electrical connections, checking operational and safety controls, and performing annual belt replacements. Bidders are instructed to include one belt per year in their pricing for each equipment unit and to provide quotes for additional replacements if needed before the annual cycle is complete. The document provides clear, actionable guidance for potential service providers to understand the specific requirements of the HVAC maintenance contract.

LMSES.COM Maintenance Visit Log Forms Will the facility team at McCarren Center in Las Vegas be requiring a log form be filled out for any or all inspections performed?
A service report with your companies' letter head should be submitted after each maintence service for each peice of equipment. The report should be emialed to t.cooke@admin.nv.gov. If there are any repairs/replacment parts needed that are discovered during any maintenance, please explain it on the service report and send a quote for repairs on a separate email attachment.

LMSES.COM Prevailing Wage Is any prevailing wage required for this RFP? (I have to get more information and find out the answer to this question)
3 ACCOUNTSPAYABLE@
LMSES.COM Equipment List Will an equipment list be provided?
Equipment lists for buildings MC 1-7 and MC 20-30 have been posted on the attachments tab in NevadaEPro. We only own MC-1- 7 and MC-20-30 at this time.
4 SZOLINA@LMSES.COM Clarification on the items in the scope of work for this RFP
The verbiage used states, “Annually as required”. I’m not clear on the “as required” part. Is the scope calling for replacement of belts and the cleaning of condenser coils to be done annually or as needed? Please advise, thank you.
Lubricate fan and motor bearings per manufacturer’s recommendation.
Replace belts. (Annually as required) Inspect condition of pulleys. Adjust and align if required and applicable.
Check drain pan, drain lines, and traps.
Check motor operating conditions.
Inspect electrical connections and tighten as required.
Check condition of unit disconnects.
Check motor contactors and relays.
Check unit operational controls and adjust if needed.
Check unit safety controls and adjust as needed.
Check compressor oil level (where applicable).
Check crankcase heater condition and operation.
Start compressor. Check operating conditions and adjust as required.
Check coils for leaks and any conditions for concern.
Secure unit panels and inspect roof curb flashing.
Chemically clean condenser coils. (Annually as required)
Belts should be chaged yearly, if the belt is worn and failing before the year is up then, please send a qutoe for a replacement after you turn in the quartly log noting it needs to be changed. One belt per year will need to be inclulded in your price for that equipment.
