File templates

Learn what each GovTribe AI file template contains, what GovTribe AI needs to complete it, and which GovCon workflow it supports.

Use a file template when you want a finished Word document, Excel workbook, or PowerPoint presentation with a proven GovCon structure instead of describing the layout yourself. GovTribe AI fills a copy of the template from the opportunity, award, company, or project you name, and saves the result to Files.

Templates are available from Create file in Files, and from the Create file button on a Federal contract opportunity or Federal contract award page. Create file is a Beta feature that appears when your account can use GovTribe AI. You do not need to select a skill first; each template already knows which GovCon workflow guides its research.

How templates work

Choosing a template in the Create file gallery opens Use in chat with a suggested message. Nothing is created until you send it.

  • From an opportunity or award page, the suggested message asks GovTribe AI to adapt the template to that record using its relevant source documents. GovTribe AI asks only for information it still needs.
  • From Files, the suggested message asks what you want to do with the template. Name the target opportunity, company, or project in your message for a specific result, or ask for a blank working copy.
  • In an existing conversation, you can also name a template in your message. Name the guiding workflow skill with it, such as Use Capture Workflows with the Bid / No-Bid Assessment template, so GovTribe AI researches the content the right way. For the response and narrative templates, add GovCon Writing so the prose is written for a government reviewer.
  • GovTribe AI works from the blank template and uses the populated example only as a guide to layout and depth. The company names, dates, figures, and past performance shown in previews and examples are illustrative and never treated as facts about your company or target.
  • The completed file is saved as a new file in Files. Later edits continue from that working copy, so you can comment on the draft and request revisions without starting over.
  • Formulas, charts, stage lists, and data validation in workbook templates stay intact, and confirmed source facts stay separate from assumptions and open questions.

A temporarily unavailable template is disabled in the gallery. Choose another template or start from scratch, and try again later.

Capture templates

These templates support pursuit decisions, leadership reviews, pipeline management, and teaming. GovTribe AI uses Capture Workflows to research fit, competition, and risk before it fills them in.

Bid / No-Bid Assessment

A Word document that records a pursue, no-bid, watch, or partner recommendation and the evidence behind it.

Sections: Recommendation, Decision factors, Next actions, Source questions, a Source register, and Company assumptions.

Give GovTribe AI the target opportunity and your company's capabilities, eligibility, delivery constraints, and economics, plus who owns the decision. GovTribe AI separates disqualifying conditions from gaps you can close, and an unresolved mandatory condition is never outweighed by a favorable score. Start from the opportunity page, or use a prompt like:

Use Capture Workflows with the Bid / No-Bid Assessment template for [GovTribe opportunity link]. We are a HUBZone IT services firm with two relevant help-desk contracts and no current vehicle access. Recommend pursue, no-bid, watch, or partner, and list the conditions and next actions behind the call.

Executive Capture Briefing

A PowerPoint deck for a leadership decision checkpoint on one pursuit.

Slides: a title slide with the buyer, opportunity, and as-of date, then Buyer priorities, Procurement and timing, Company fit and gaps, Delivery and partner strategy, Capture effort and economics, Pursuit risks, and Next actions.

Tell GovTribe AI the decision leadership needs to make, the pursuit stage, and what you already know about the timeline, competitive position, and capture cost. The timeline, economics, and action items stay editable, and each slide carries one clear takeaway. Buyer logos appear only for the buyer; your company identity appears only for the pursuing company.

Use Capture Workflows with the Executive Capture Briefing template for [GovTribe opportunity link]. The deck is for a gate review next Tuesday. We expect to prime with one small-business partner and need approval for a $40,000 capture budget through proposal submission.

Opportunity Pipeline Tracker

An Excel workbook that organizes pursuits by stage, value, deadline, and action owner.

Sheets: Dashboard, Pipeline, Actions, and Source Data.

Provide the portfolio owner, the as-of date, the opportunities to include, and your stage definitions, probabilities, values, response dates, and action owners. GovTribe AI keeps opportunity facts from GovTribe records separate from your internal pursuit judgments, and preserves the stage lists, formulas, charts, and validation that drive the probability-weighted values, overdue flags, and summary counts. Because a tracker covers several records, GovTribe AI asks which opportunities, pipeline, or saved search should define the scope when you start from a single record or from Files.

Use Capture Workflows with the Opportunity Pipeline Tracker template for the opportunities in my "FY27 Navy IT" pipeline. Use our standard stages: Identified, Qualified, Capture, Proposal, Submitted. Flag anything due in the next 30 days.

Teaming Partner Shortlist

An Excel workbook that compares candidate partners against the capability gaps on a pursuit.

Sheets: Shortlist, Teaming Needs, Capability Match, Relevant Work, Checks & Actions, and Sources.

Name the pursuit, describe your company's role and profile as the prime, and state the capability gaps a partner must fill. GovTribe AI keeps each candidate's legal identity and unique entity ID separate from yours, links every need to candidate evidence, and records unresolved checks, conditions, and next actions. Adding a candidate to the shortlist does not send any outreach.

Use Capture Workflows with the Teaming Partner Shortlist template for [GovTribe opportunity link]. We will prime. We need a partner with a facility clearance, ServiceNow experience, and past performance at VA medical centers. Shortlist five candidates and show what still needs checking.

Deep dive templates

These templates turn one target into a source-backed brief or research file. GovTribe AI uses Deep Dive to gather and label the evidence.

Opportunity Brief

A Word document that summarizes what a buyer needs, when a response is due, and what the pursuit team should do next.

Sections: What the buyer needs, Opportunity at a glance, Requirements, Pursuit risks, Capture actions, and Sources, which includes source changes that still need confirmation and a source register.

GovTribe AI completes this brief from the notice, solicitation, amendments, and attached files. It confirms the response deadline and its time zone, separates confirmed requirements from inferred capture implications and open questions, and cites each source. A factual brief does not need company information, so the quickest path is Create file on the opportunity page, which suggests this message:

Adapt the Opportunity Brief for [opportunity title], using this opportunity and its relevant source documents. Ask me only for information you still need.

In a conversation, name the workflow and the template:

Company Profile & Due Diligence

A Word document that profiles one company's capabilities, federal work, contract access, and open due-diligence questions.

Sections: Capabilities, Selected federal work, Contract access and relationships, Questions to resolve, and Sources.

Identify the exact legal entity, ideally with its unique entity ID, so GovTribe AI does not mix similarly named companies. The profile distinguishes the company's own claims, procurement records, inferred relationships, and evidence gaps. Awarded scope is kept separate from demonstrated performance, and a lack of retrieved awards is reported as a gap rather than as proof the company has none. Use it for a competitor, a prospective partner, or an incumbent.

Use Deep Dive with the Company Profile & Due Diligence template for [vendor name or GovTribe vendor link], UEI [identifier]. We are evaluating them as a subcontractor for logistics support work at DLA.

System / Program Research

An Excel workbook that maps a government system or program: its mission, stakeholders, contracts, funding, and modernization plans.

Sheets: Overview, System Profile, Contracts, Funding, Timeline, and Research Log.

Name the system or program and the date through which research should run. GovTribe AI preserves real agency and contractor roles and award identifiers, keeps every claim traceable to a source, and separates active facts from historical or planned activity. A vendor's relationship to a program is not treated as proof of procurement access or demonstrated performance.

Use Deep Dive with the System / Program Research template for the Army's Integrated Personnel and Pay System. Cover the program office, major contracts and incumbents, recent funding, and the modernization timeline as of today.

Market intelligence template

Contract Awards & Spend Analysis

An Excel workbook that compares awards, suppliers, and spending trends for a buyer, market, or category. GovTribe AI uses Market Intelligence for the aggregation approach.

Sheets: Dashboard, Trends, Vendors & Buyers, Awards, and Transactions.

Define the buyer or agency scope, the fiscal period, and any category, vehicle, set-aside, or location filters. GovTribe AI distinguishes obligations, deobligations, net obligations, and award ceilings, keeps award and vendor identifiers and links in the working tabs, and reconciles the dashboard, trend, and working totals using the same inclusion rules. Set-aside and location values that source records do not provide are shown as unknown rather than filled in.

Use Market Intelligence with the Contract Awards & Spend Analysis template for NSF application support services awarded in FY2024 through FY2026. Show spend by vendor and by year, and highlight vehicles used.

Pricing template

Labor Pricing & Staffing

An Excel workbook that models labor rates, staffing, escalation, and total price across scenarios. GovTribe AI uses Pricing Data to source rate evidence.

Sheets: Summary, Assumptions, Staffing, Labor Rates, Pricing, and Source Data.

Provide the labor categories, hours or full-time-equivalent basis, performance periods, escalation, indirect-cost assumptions, and fee or profit basis. GovTribe AI records the source of each rate and labels observed rates separately from proposed rates. It fills the input cells in a working copy and preserves the formulas, scenario controls, validation, and roll-ups, then reconciles rate-times-hours, period totals, and scenario outputs. The example buyer and rates in the preview are illustrative, not market evidence.

Use Pricing Data with the Labor Pricing & Staffing template for [GovTribe opportunity link]. Use a base year plus four option years, 3% escalation, and a 12-person team: 1 program manager, 2 leads, 6 analysts, 3 developers. Use GSA and BLS rate evidence for the Washington, DC area.

Proposal templates

These templates produce response artifacts from a solicitation or notice. GovTribe AI uses Proposal Workflows to read the source package first, and can apply GovCon Writing to the narrative text.

RFI / Sources Sought Response

A Word document that answers a market-research notice question by question.

Sections: a numbered section for each notice question, each with Relevant experience and Application to this requirement, followed by Project references.

GovTribe AI resolves the controlling notice, its questions, the submission channel, the deadline, and any formatting limits, then maps each answer to the question it addresses. Provide your company identifiers and the experience you can support with evidence. The cover artwork stays separate from the editable response text, and the buyer's identity is preserved. Illustrative projects and personnel from the example are replaced with your supported input or clearly kept as examples.

Use Proposal Workflows and GovCon Writing with the RFI / Sources Sought Response template for [GovTribe opportunity link]. Answer each question in the notice's order using our capability statement and the two past-performance summaries I attached. Keep answers within the stated limits and mark anything you could not support.

Proposal Compliance & Control

An Excel workbook that tracks requirements, evaluation factors, submission controls, and amendment changes for one solicitation. It is the same workbook that Build proposal control workbook produces.

Sheets: Start Here, Opportunity Setup, Dashboard, Requirement Matrix, Evaluation Crosswalk, Submission Checklist, Pricing & Deliverables, Questions-Risks, Amendment Log, Sources, and Lists.

GovTribe AI populates Sources first, then keeps requirement IDs, verbatim requirement text, citations, evaluation links, submission controls, and amendment impacts traceable across the sheets. Formulas, validation, helper lists, and print settings are preserved. The Dashboard counts describe work status; they do not establish that a proposal is ready to submit.

Use Proposal Workflows with the Proposal Compliance & Control template for [GovTribe opportunity link]. Include Amendment 01 and the Q&A, and list every form and attachment the submission requires.

Past Performance Project Narrative

A Word document that turns one project's evidence into a relevant past-performance narrative.

Sections: Relevance to this requirement, Work performed, Results and performance, Challenges and corrective actions, Customer reference, and Supporting evidence.

Tell GovTribe AI which requirement the narrative supports and provide the project's customer, your role, scope, dates, value, work performed, results, and releasable references. Metric definitions and calculations stay attached to the narrative. GovTribe AI does not invent customers, reference contacts, or performance ratings, and it keeps the example project's results clearly illustrative.

Use Proposal Workflows and GovCon Writing with the Past Performance Project Narrative template for [GovTribe opportunity link], using our MSHA records digitization contract. We were the prime. I attached the CPARS summary and the project close-out report. Emphasize relevance to the scanning volume and security requirements.
