Create files from templates or start from scratch, then organize, preview, download, and reuse workspace files with GovTribe AI.
Open GovTribe AI Files, or select Files below Automations in GovTribe AI. Files is a shared library for files uploaded, saved, or created by GovTribe AI in your workspace. Every workspace member with GovTribe AI access can browse and organize the same library.
The separate User Files search page remains available when you need its search modes, pursuit and tag filters, exports, or full file record pages.
Create a file
Create file opens a Beta gallery with two starting points: From template and Start from scratch. It is available when your account can use GovTribe AI. Choosing an item opens Use in chat; it does not create a file until you send a request.
Choose your starting point. Select Create file at the top of Files. Under From template, use the previews and short descriptions to choose a document, workbook, or presentation. To begin without a template, scroll to Start from scratch and choose Word, Excel, or PowerPoint.
Choose a conversation. In Use in chat, leave Conversation set to New chat, or choose an existing conversation to continue working there. A template selection shows its name above the conversation selector.
Describe the file you want. Type your instructions or send the suggested message. For example, ask for an Opportunity Brief for a specific opportunity, a staffing workbook for a pricing scenario, or a presentation for a leadership review. You can also ask for a blank working copy of a template. GovTribe AI uses the selected template or format to guide the work; you do not need to select a skill first.
Send and review. Select the send arrow or press Enter. GovTribe AI continues in the selected conversation and may ask for missing information. Review the generated file, download it, or comment on the draft and request revisions. Sending follows your normal GovTribe AI access and credit rules.

Start from scratch asks GovTribe AI to create a Word document, Excel workbook, or PowerPoint presentation from your instructions. It does not immediately download an empty file.
If Files has no files or folders to show, the gallery appears directly on the page. The search, filter, and view controls stay hidden until there is content to browse. Upload file and Create folder remain available at the top. Searches with no matches and empty folders keep their browsing controls.
Temporarily unavailable choices are disabled. If the gallery cannot load, select Try again. If sending fails, your request stays in the dialog so you can retry.
Adapt a template to an opportunity or award
Open a Federal contract opportunity or Federal contract award, then select Create file in its header. Choose a template to get a suggested message that asks GovTribe AI to adapt it to that record using its relevant source documents. You can edit the message and choose a new or existing conversation before sending.
Starting from Files uses a general suggested message asking what you want to do with the template. Include the target opportunity, company, or project when you want a specific result.
Read the file table
Each row represents a file or folder. Use the checkbox to select files for a group action, the name to open a file or folder, and the remaining columns to identify the file you need.

The Type column appears after Size and before GovTribe AI by default. The sparkle identifies AI-generated files separately from Created by, which continues to name the person responsible. Reusing an existing file in a new conversation does not change that attribution.
A folder's Size totals its available files, including files inside subfolders. Search filters do not change this total. Sizes can take a short time to update after uploads, moves, or deletions. An empty folder shows 0 B; a dash means the total is unavailable or some file sizes are unknown.
Files excludes deleted files, files hidden from user discovery, internal tool artifacts, and government source documents that are not User Files.
Browse files and folders
Files opens at the library root, with folders above loose files. Select a folder to open it, and use All files in the breadcrumbs to return to the library root. Browser Back and Forward retrace opened folders. Copy the URL to share a folder with a workspace member who has access, or bookmark it to reopen the same location. Both folders and files default to Last modified, newest first.
Folders appear on the first page of file results. Use the chevron beside a folder to preview its contents inline. Selecting the name still opens the folder. Each preview has its own 25-item pages: use Show more for the next page or Previous to go back. Nested folders can expand too. Selections remain available when a preview is collapsed or changes pages. The main file page and its totals stay separate.
Search results, the flat file list, and inline previews show a clickable containing path beneath each file name. Longer paths show the last two folders with an ellipsis before them; hover to see the full path. Select the path to open that folder; inside a folder, the breadcrumb shows your current location.
The first five folders appear above the files. The Show all folders control beneath the folder rows expands the group, with its own pages of up to 25 folders. Files have separate 25-file pages, so folders never crowd files off the page.
Search and filter files
Use Search files and folders to find names across the whole library. Search does not inspect file contents. Combine the search with the dropdowns and view controls to narrow your list.

File type, source, and Favorites filters show matching files across folders; unrelated folders are omitted. Select All creators, All file types, or All sources to clear that dropdown's filter. Select Favorites only again to turn it off.
The totals beside search describe your current folder or matching search results. Hide folders shows the total for the flat list of files across folders. At the bottom of the table, the file range and page controls count files only. If some results have become unavailable, the page reports how many files are shown instead of a complete range.
The File type dropdown offers formats found in indexed files matching your search and other filters, including files inside folders. Its options cover all matching pages. An active type stays available to clear even if it no longer has matches. Choose All file types to clear that filter. Each result list supports browsing its first 10,000 matches. If there are more matches, narrow your search or filters.
Customize the table
The controls above the table let you change what you see:
- Favorites only switches your personal favorites filter on or off.
- Hide folders shows a flat list of files across the library, including files inside folders. Show folders returns to folder browsing.
- Fields lets you hide or reorder Created by, Last modified, Size, Type, and GovTribe AI. Name and Favorites stay visible.
Select Name, Created by, Last modified, or Size in the column headings to sort. Select the same heading again to reverse the order. Type, GovTribe AI, and Favorites do not sort the table.
Drag the right edge of a column heading to change its width, or focus the edge with Tab and use the left and right arrow keys. Neighboring columns adjust to keep the table filled. Widening Name gives filenames more room; on a smaller screen, scroll horizontally if needed. Expanded folder contents use the same column widths. Your field choices and widths remain in this browser when you return to Files.
Your folder-view choice is also remembered in this browser. Changing the view does not move files or change the library for teammates.
Favorites
Use the heart in the Favorites column to add or remove a file from your favorites. An outlined heart means the file is not favorited; a filled heart means it is. Folders do not have favorites. These are the same personal favorites as the classic User Files page. Favorites only narrows results across the library and combines with your name search and other filters. It preserves your sorting, Fields choices, and selected files. Renaming or moving a file preserves its favorite status.
Organize the library
Actions in Preview apply to that one file. Actions in the selection toolbar apply to every selected file, including selections on other pages or inside folders. Folder actions are in the three-dot menu beside the folder name.

Select files
Select files on one or more pages to download, move, delete, or reuse them together. The selected count and action toolbar appear above the table. The heading checkbox changes only the visible page. Selections remain while you search, change pages, or open folders, and clear when you leave Files or change workspace. Use Clear selection to start a new group.
The checkbox beside a folder selects its available files across all pages, including every subfolder. It ignores search filters and adds to your existing selection, up to 1,000 files. A checked box means all files are selected; a dash means some are selected. Uncheck it to remove that folder’s files while keeping selections elsewhere. Empty folders have a disabled checkbox. The control shows a loading indicator while files are being selected. If the folder contents have changed or the selection is too large, nothing is added: refresh or choose a smaller folder and try again.
Use in chat is disabled when more than 10 files are selected. Reduce the selection to continue; the other group actions have their own limits.
Move files and folders
To move files, select their checkboxes and choose Move, or open a file’s Preview and choose Move there. Choose a destination folder, or use Remove from folder to keep the selected items in All files without a folder. That option appears only when at least one selected item is in a folder. The Folders breadcrumb returns to the folder list without choosing a destination. The Move button stays disabled until you choose a destination, while folders load, or when every selected item is already there. Choose Move 1 file, Move N files, or Move folder to confirm. After a folder is renamed or moved, search results for its contents may take a short time to reflect the new paths. Details uses the current folder organization.
To move a folder, use its three-dot menu and choose Move. A folder cannot be moved inside itself or one of its nested folders. Renaming or moving a file preserves its creator, AI attribution, favorites, and existing conversation or pursuit associations.
Folder organization is shared with every member of the workspace. Existing files begin at the root. New files created through conversations, automations, or the classic User Files page also begin at the root until someone moves them.
After moving files, the list reloads with their new locations. If the move saves but search cannot update immediately, a message explains that search is still updating. Refresh shortly to see the new location.
Name and delete folders
Create folder adds a folder at the level you are viewing. Folder names must be unique within that location, ignoring capitalization. To change a name, choose Rename from the folder menu and then Save name.
Delete works only when the folder is empty. The confirmation checks its contents and keeps Delete disabled while checking, if files or subfolders remain, or if the check could not finish. Move or delete the contents first. If checking fails, choose Try again. Click outside a folder menu or press Escape to close it.
Find files from GovTribe AI search
The Search control in the GovTribe AI sidebar also searches filenames across your workspace library, including files inside folders. Matching files appear under Files, with their containing paths. Select a result to open Preview in its folder. Search returns only files you can access; it does not search file contents.
Preview a file
Select a filename to open a centered viewer without leaving Files. In a chat, generated images and filenames under Outputs open the document pane beside chat, where you can switch files and comment on drafts. Saved images embedded in chat messages also open that pane when the file is available in the conversation. PDF, Word, Excel, PowerPoint, and supported image files use the document viewer. CSV files appear as a scrollable table in the same dialog, showing up to 200 rows and 100 columns for files up to 10 MB. Download the file to see anything beyond those limits.
Expand Details above the preview to see the creator, creation and last modified dates, file type, size, folder location, original conversation, and related GovTribe records you can access. This section starts collapsed and loads when opened. If details cannot load, choose Try again; the preview and its actions remain available.
After following a conversation or record link from the preview, use your browser's Back button to reopen the preview and return to your position in the file list. The preview URL also preserves the current folder, page, and filters.
The preview toolbar includes Use in chat, Download, Move, Delete, and Rename. These actions apply only to the file you are previewing, even if other files are selected. Canceling a move, deletion, or rename returns to the preview. Renaming updates the preview title and the filename in Outputs immediately; a completed move or deletion closes it.
You can also click the filename in the preview header to edit it. The extension stays fixed beside the name. Choose Save or press Enter to save; choose Cancel or press Escape to keep the original name. If saving fails, your edits stay in the input so you can try again.
Closing Preview keeps your current folder, filters, and selection. Download remains available in the dialog. Files with unavailable contents or formats the viewer cannot display show a fallback message.
Download selected files
Select the files you want, then choose Download in the selection toolbar. GovTribe prepares one ZIP containing your selected files, including selections on other pages or inside folders, and emails you a download link when it is ready. You can use a folder's checkbox to select its files and subfolder files first.
Your normal export limits apply. The ten-file limit for Use in chat does not apply to ZIP downloads. If an export cannot start, an error appears and your selection stays available to revise or retry. To download a single file directly, open Preview and choose Download.
Upload a file
Choose Upload file to add one file to the open folder. New uploads can be up to 10 MB and use the same processing as other User File uploads.
The empty library offers the template gallery, while Upload file remains available in the header. An empty folder and a search with no matches have their own messages so you can tell whether to add content or change the filters.
Review file details and related records
Select a filename to open Preview, then expand Details to see the file type, size, creation and last modified dates, creator, folder path, and authorized Related GovTribe records links.
Related GovTribe records lists records linked to the conversation that created the file. It can include the conversation's original record and records explicitly supplied when their files were attached. It does not list uploaded files or automation settings, and it does not prove which records supplied information for a particular file. Records found in searches are not automatically included in this list.
Only records you can currently open appear. No linked records available means there are no saved links you can currently open. Older conversations may not have saved these links; GovTribe does not reconstruct them from transcripts. A teammate's file can be visible while the teammate's private conversation title, route, prompt, transcript, and other conversation details remain private.
Reuse files in chat
Select one to 10 files. Select files from any folder, search, or page. Folders themselves cannot be attached. Use a folder’s checkbox to add its files and subfolder files to your selection; each request accepts at most 10 files.
Choose Use in chat. A dialog shows the selected files and the familiar chat composer. Under Conversation, choose New chat or select an existing chat to add the files there. Longer file lists scroll within the dialog so the message stays within reach. Type what you want to do, optionally choose a skill, or use dictation. For a new chat, you can also choose connected tools. Leave the message blank to ask GovTribe AI to ask what you would like to do with the files.
Send your message. Click the send arrow or press Enter. Shift+Enter adds a new line. Starting chat… or Adding files to chat… appears while GovTribe opens the selected conversation. Your message identifies the selected files so the AI knows which ones you chose. The destination conversation prepares those files as inputs. Find them under Inputs in the conversation information panel. If the chat could not be set up, choose Try again. If particular files cannot be opened, you can retry or choose Remove unavailable files. No partial analysis starts while files need attention.
Continue the conversation. Once every selected file is ready, GovTribe AI responds to your message. If you used the suggested default, it asks what you would like to do with the files. Sending the request uses your normal GovTribe AI access and credit rules.
You can also choose Use in chat from the Preview toolbar; the same dialog opens for that file. Canceling the dialog keeps your file selection and preview. GovTribe validates the complete selection before submitting the request. If a file was deleted or became unavailable, revise the selection; available files are not silently dropped. Existing files can be reused even when they are larger than the 10 MB new-upload limit. Reuse keeps the original file identity and attribution. A file created in one conversation remains an output there and becomes an input when reused in another. New files created in the destination conversation are its outputs. Older attachments with uncertain origin are shown as attached files without claiming they were created there.

Files and Usage
Usage keeps its existing Outputs reporting section, date ranges, credits, and account reporting permissions. Use Files to manage the shared workspace library across its full available history. Use Usage to understand completed GovTribe AI work within a reporting period.
Organize files with GovTribe AI or MCP
Ask GovTribe AI to create a folder, rename or move it, or move selected User Files to a destination. These changes are shared with your workspace and preserve file identity and history. Only empty folders can be deleted; this does not delete their contents.
MCP clients use Workspace Search to browse folders and Workspace Actions to organize them. Read the Organize user files with folders guide for the tools and examples. Folder IDs describe organization; choose the individual files when you want an agent to read their contents. After a move, saved placement is authoritative while indexed search results and folder sizes may take a short time to update. GovTribe AI and connected agents can also rename a file, set or clear its description, link it to or unlink it from a pursuit, and delete it, using the same permissions you have in the UI.
