About this opportunity

The Town of Parker, Colorado is soliciting proposals for HVAC preventive maintenance and repair services covering 46 assets across nine municipal facilities, with proposals due October 22, 2026.

The scope encompasses scheduled preventive maintenance, seasonal inspections, testing, documentation, emergency response, and corrective repairs for heating, cooling, ventilation, chiller, and pool dehumidification equipment. The asset inventory comprises 40 rooftop units, four direct-expansion chillers, and two pool dehumidification units distributed across the Fieldhouse, MOTS Building A, Pace Center, Police Department, Public Works Operations Center, Recreation Center, School House, Town Hall, and Town Hall Addition. Equipment in service ranges from 1996 to 2026 and includes units from manufacturers such as Daikin, Trane, Carrier, AnnexAir, McQuay, Innovent, and Valent. The Town notes that the inventory is subject to field verification and contractors remain responsible for identifying additional equipment needs or unsafe conditions during service delivery.

Vendors must price all 46 listed assets using the Town's price sheet form, providing one cooling-season price and one heating-season price for each facility with annual totals calculated automatically. Separate labor rates are required for regular hours, after-hours, weekend, and holiday service calls, along with minimum or trip charges. Parts, consumables, refrigerant, subcontracted support, travel, disposal, and other fees must be separately itemized and disclosed. Bidders must identify proposed subcontractors and provide three comparable municipal or commercial references with scope details, contract duration, and contact information.

The Professional Services Agreement template provided permits the Town to renew for four additional one-year periods under identical terms, contingent on the consultant providing notice of rate changes at least sixty days prior to term expiration. Contractors must maintain a Town of Parker Business License throughout the contract term and carry Commercial General Liability coverage of at least one million dollars per occurrence and two million dollars general aggregate, with the Town named as additional insured.
