About this file

This is an HVAC Preventive Maintenance Price Sheet and Proposal Forms document issued by the Town of Parker, Colorado, in conjunction with its request for proposals for scheduled preventive maintenance and repair services. The Town seeks qualified commercial HVAC contractors to provide preventive maintenance, seasonal inspections, testing, documentation, emergency response, and corrective repair services for 46 assets across nine facilities: Fieldhouse, Mots Building A, Pace Center, Police Department, Public Works, Recreation Center, School House, Town Hall, and Town Hall Addition. The asset inventory comprises 40 rooftop units, four DX chillers, and two pool dehumidification units. Vendors must price all 46 listed assets and complete four tabs within the workbook, entering one cooling-season price and one heating-season price for each facility with annual totals calculated automatically.

Bidders must provide separate labor rates for regular hours, after-hours, weekend, and holiday service calls, along with minimum or trip charges, and must disclose separately priced parts, consumables, refrigerant, subcontracted support, travel, disposal, and other fees or markups. The pricing sheet requires vendors to identify proposed subcontractors and provide three comparable municipal or commercial references with scope details, contract duration, and contact information. All assumptions, exceptions, and renewal adjustment terms must be clearly stated in the proposal forms. The workbook uses color-coding to distinguish vendor input cells (blue), Town labels and calculated totals (white), and calculated totals (gray) to ensure accurate and complete pricing submissions that include all work required by the scope in applicable seasonal visit prices while avoiding duplicate pricing.
