About this opportunity
The New Jersey Division of Revenue and Enterprise Services (DORES) is soliciting bids for record storage and retrieval services under contract T1128, with proposals due September 29, 2026. This is a statewide purchasing consortium contract available to the State of New Jersey and authorized consortium members.
The scope encompasses comprehensive records management including monthly storage and indexing for standard records center boxes (0.6 to 8 cubic feet), folder indexing, box and folder retrieval during normal and emergency business hours, on-site review room access with copy services, record destruction and recycling, pallet and box removal, inventory transfer, and purchase of storage boxes and map tubes. The solicitation includes 25 line items requiring unit pricing for each service. Vendors must provide firm fixed pricing for initial inventory transfer from the incumbent contractor and all-inclusive monthly rates for ongoing operations. Section 4.9 specifies destruction and disposal requirements with environmental or regulatory compliance standards for records elimination.
Vendors are required to complete a comprehensive Third-Party Information Security Questionnaire (Attachment 3) to demonstrate information security infrastructure and operational controls, including data protection protocols, access controls, encryption standards, disaster recovery and business continuity procedures, incident response capabilities, and personnel security practices. This assessment is essential given the handling of confidential state records and sensitive information requiring robust protective measures and compliance with state and federal security standards.
Bidders must submit responses using the Standard Procurement Forms Packet (Attachment 2), which establishes the formal submission requirements, evaluation criteria, and contractual obligations. The bid solicitation document and state-supplied price sheet detail technical specifications, service level requirements, response times for record retrieval, storage facility standards, and record handling procedures. Funding for this contract will be provided through DORES operational budgets.
