About this opportunity
Salt Lake County is seeking information through a Request for Information for a camera system that captures ballot drop box deposits, with written responses due December 18, 2026 before 1:00 p.m. MST. The Division of Contracts and Procurement has received a request to purchase from a sole source vendor, which the vendor is not named in the notice. Any party that disagrees with the sole-source applicability must email the county contact before December 18, 2026.
The system must support remote monitoring and data download, accommodate 10 or fewer user logins, and operate without hard-wired power because of ballot box locations. Vendors must offer customer support through both online and live person-to-person channels. Auto file naming with date and time stamps is desirable but not required. The system must comply with Utah Code 20A-5-403.5.
Responses are limited to three pages and must address pricing structures. Required pricing elements include initial hardware investment, setup and maintenance fees, initial and ongoing licensing costs, user or enterprise licensing fees, subscription costs, warranty information, and whether billing is monthly, quarterly, or annual. Vendors should also indicate availability of multi-year, government, or other discounts. Submissions go directly to Bibi Whitehead at bwhitehead@saltlakecounty.gov.
Salt Lake County may issue a formal Request for Proposals after evaluating RFI responses. Submitted documents are protected records under the Utah Governmental Records and Access Management Act until contract execution or two years from the RFI issuance date, after which they become public unless they qualify as trade secrets or commercial information under state law.
