About this file

This is a Request for Information (RFI) issued by Salt Lake County, Utah, seeking information from vendors capable of providing a camera system to monitor ballot drop box deposits in compliance with Utah Code 20A-5-403.5. The County is requesting written responses of no more than three pages, to be submitted directly to Bibi Whitehead (bwhitehead@saltlakecounty.gov) by December 18, 2026, before 1:00 p.m. MST. Respondents are encouraged to include contact information and details about their proposed solutions. Following evaluation of submitted information, Salt Lake County may initiate a formal Request for Proposals process. The RFI does not specify an award date or contract term, as this is an information-gathering phase preceding potential formal procurement.

Respondents must address pricing structures including initial hardware investment, setup and maintenance fees, licensing costs (initial and ongoing), user or enterprise licensing fees, subscription costs, warranty information, and whether pricing is structured on a monthly, quarterly, or annual basis. Additionally, vendors should indicate availability of multi-year, government, or other discounts. The system must support remote monitoring and data download, accommodate multiple user logins (10 or less), operate without hard-wired power due to ballot box locations, and offer customer support through both online and live person-to-person channels. Desirable but non-required features include auto file naming with date/time stamps. All documents submitted in response to this RFI will be treated as protected records under the Utah Governmental Records and Access Management Act until contract execution or two years from the RFI issuance date, at which point they become public records unless they qualify as trade secrets or commercial information under state law.
