About this opportunity
The California Department of Food and Agriculture (CDFA) is requesting quotes from certified small businesses for hard drive and media destruction services at its downtown Sacramento location, with responses due by 2:00 p.m. on October 23, 2026. This procurement is restricted to Certified Small Businesses or Disabled Veteran-Owned Businesses (SB/DVBE); certified small businesses are eligible for a 5% preference.
The scope covers onsite destruction of hard drives, floppy disks, CD/DVD media, and magnetic tapes at CDFA's Sacramento facility (1220 N Street, Sacramento, CA 95814) during standard business hours (8:00 a.m. to 4:00 p.m., Monday through Friday, excluding state holidays). Services will be performed as needed, no more than once per month, with destruction requests provided 15 days in advance and service dates mutually agreed upon. The contractor must provide all labor, materials, tools, equipment, personnel, transportation, insurance, and permits; stage and store materials securely; and furnish administrative documentation and a certification of destruction within five working days of service. The cost worksheet requires tiered pricing for five media types across four quantity brackets: 1–250 units, 251–500 units, 501–750 units, and 751–1,000 units.
The initial contract term is two years with an option to amend for additional time and/or funds. Award will be made on a best value basis on an all-or-none basis. The standard delivery timeframe is 30 days after receipt of order, with final delivery, inspection, and acceptance at the Sacramento location. Invoices are paid net 45 days under the California Prompt Payment Act. All equipment must be new and in current production; used, shopworn, or discontinued models are ineligible. Responsive quotes must include the completed RFQ document, cost worksheet, Bidder Declaration form (GSPD-05-105), Recycled Content Certification form, Darfur Contracting Act Certification (if applicable), Payee Data Record (STD Form 204), and proof of small business certification. Only F.O.B. Destination shipment terms are accepted.
