About this opportunity

The Van Buren Intermediate School District, in coordination with multiple school districts across Van Buren and Cass Counties in Michigan, is soliciting bids for the procurement of copy paper as part of a 2026 Paper Consortium. The procurement seeks 4,440 cases of multipurpose copy paper meeting specific technical specifications: 8x11 white, 20 lb., 92 TAPPI brightness, 500 sheets per ream, and 10 reams per case. The paper must be delivered to nine locations including eight school district sites in Van Buren County (Covert, Decatur, Hartford, Lawton, Mattawan, Paw Paw, South Haven, and Van Buren ISD) and one location in Cass County (Dowagiac Union Schools), totaling 111 pallets. Delivery is required on or after July 1, 2026, with specific locations requiring delivery by August 3, 2026, or the week of August 10, 2026, with delivery options including dock-to-dock, lift gate to ground, and tailgate delivery. Sealed bids must be received by Tuesday, May 26, 2026, at 2:00 pm EST, and must include a paper sample of at least 10 sheets. Bidders should direct questions to Melissa Nelson, Secretary, at mnelson@vbisd.org, with sealed bids submitted to Rebecca DePas, Director of Finance & Operations, at 490 S Paw Paw Street, Lawrence, MI 49064.

All bids must be accompanied by two completed affidavits: the Affidavit of Bidder Familial Relationship and the Affidavit of Compliance with the Iran Economic Sanctions Act (Michigan Public Act No. 517 of 2012), with bids lacking either affidavit being rejected. Bid quotes are exempt from Federal and State taxes, guaranteed for 90 calendar days, and must include all delivery costs. A preference is given to products manufactured in the United States. The Van Buren Intermediate School District reserves the right to accept or reject any or all bids, waive irregularities or informalities, and award the contract to other than the lowest bidder. No specific award value, incumbent vendor information, or budget range is provided in the solicitation materials, though pricing should reflect the delivery of approximately 4,440 cases to the nine designated locations.
