About this opportunity
The Ontario International Airport Authority (OIAA) is requesting proposals for a promotional merchandise vendor to provide sourcing, customization, printing, fulfillment, delivery, and account management services under RFP 2026-RFP-082, with proposals due July 23, 2026 at 2:00 PM. OIAA encourages eight to ten percent small business participation through its Small Business Element program.
The vendor will serve the Communications and Marketing Division and broader organizational needs by supplying branded promotional items—including water bottles, tote bags, embroidered goods, luggage tags, foam boards, hand sanitizer bottles, and related merchandise—for airport marketing, community engagement, external events, executive gifting, and co-branded partnerships. All products must comply with OIAA's established brand standards as documented in the Ontario International Airport Brand Guide, which specifies logo usage, clear space, approved color palettes, and ADA compliance requirements for analogous color layering. The vendor must provide creative product recommendations, customization services (screen printing, embroidery, engraving, heat transfer), and tiered pricing for various turnaround times (3-day, 7-day, 14-day, 30-day, and 60-day) and order quantities (5, 100, and 1,000 units).
The contract term is three years commencing in the first quarter of the 2026-2027 fiscal year, with two optional one-year extensions. All pricing must be all-inclusive, covering setup fees, customization, imprinting, production, shipping, and delivery, with rush fees and expedited shipping itemized separately. Proposals must not exceed 30 pages (excluding cover letter, company overview, references, cost proposal, and administrative documents) and be submitted in PDF format via the OpenGov platform. A non-mandatory pre-proposal meeting is scheduled for July 1, 2026 at 11:00 AM via Microsoft Teams. Questions are due July 8, 2026 at 2:00 PM. Interviews may occur the week of August 10, 2026. Upon award, the successful vendor must obtain a City of Ontario Business License within ten days and complete supplier onboarding through graphiteConnect prior to contract execution.
