About this opportunity

Texas A&M University's Division of Finance and Business Services is requesting bids on a pool of moving-services vendors under ITB #TAMU-ITB-26-5054, with bids due July 15, 2026. The Master Order will commence September 1, 2026 for an initial one-year term with up to four automatic renewal periods of one year each, not to exceed five years total. Either party may decline renewal by providing thirty days' notice prior to term expiration.

Scope includes hourly-rate moving crew services (two personnel and one truck with a two-hour minimum), additional personnel and equipment options, and specialty moves such as equipment relocation for bleachers, tents, freezers, laser tables, fume hoods, pianos, and other large items. Vendors must indicate which specialty moves they can support. Services are provided to Residence Life and various university departments on the Texas A&M campus in College Station, Texas. Work is performed Monday through Friday, 8:00 a.m. to 5:00 p.m. CST, excluding university holidays. The vendor is responsible for safe delivery, installation, cleanup, property damage repair, and compliance with campus safety policies.

Vendors must provide three references from similar projects completed within the past two years. Pricing must remain firm throughout the agreement term with unit pricing provided for each line item; vendors must also propose maximum percentage increases for each renewal period, with a default assumption of zero percent increase if none is specified. Payment terms are Net 30 upon receipt and acceptance of services with an uncontested invoice.

The vendor must obtain and maintain comprehensive insurance coverage including workers' compensation (statutory limits), commercial general liability ($1,000,000 per occurrence / $2,000,000 aggregate), business auto liability ($1,000,000 combined single limit), and excess/umbrella coverage totaling $5,000,000 minimum, with Texas A&M University System named as additional insured. Texas A&M reserves the right to reject all bids and select vendors based on best-value criteria including price, reputation, quality, ability to meet specifications, past performance, and long-term cost considerations. Any single engagement valued at $100,000 or more will require completion of a State of Texas Subcontracting Plan promoting opportunities for certified Veteran-Owned Businesses. The resulting agreement will be extended to other Texas Higher Education Institutions as defined by statute.
