About this file
This is an Invitation to Bid (ITB) document issued by Texas A&M University's Division of Finance and Business Services for the establishment of a pool of vendors to provide moving services on the Texas A&M campus in College Station, Texas. The solicitation (ITB #TAMU-ITB-26-5054) seeks to award Master Orders to one or more vendors capable of delivering moving services to Residence Life and various university departments. Services requested include hourly-rate moving crew services (two men and one truck with a two-hour minimum), additional personnel and equipment options, and specialty moves including equipment relocation for bleachers, tents, freezers, laser tables, fume hoods, pianos, and other large items. The Master Order will commence on September 1, 2026, for an initial one-year term with the potential for four automatic renewal periods of one year each, not to exceed five years total. Either party may decline renewal by providing thirty days' notice prior to term expiration. Vendor responses must include three references from similar projects completed within the past two years and indicate which specialty moves the firm can support.
Pricing must remain firm throughout the agreement term with unit pricing provided for each line item; vendors must also propose maximum percentage increases for each renewal period, with a default assumption of zero percent increase if none is specified. Texas A&M reserves the right to reject all bids and select vendors based on best-value criteria including price, reputation, quality, ability to meet specifications, past performance, and long-term cost considerations. Payment terms are Net 30 upon receipt and acceptance of services with an uncontested invoice. The successful vendor must obtain and maintain comprehensive insurance coverage including workers' compensation (statutory limits), commercial general liability ($1,000,000 per occurrence/$2,000,000 aggregate), business auto liability ($1,000,000 combined single limit), and excess/umbrella coverage totaling $5,000,000 minimum, with the Texas A&M University System named as additional insured. All work must be performed Monday through Friday, 8:00 a.m. to 5:00 p.m. CST, excluding university holidays, and the vendor is responsible for safe delivery, installation, cleanup, property damage repair, and compliance with campus safety policies. The resulting agreement will be extended to other Texas Higher Education Institutions as defined by statute, and any single engagement valued at $100,000 or more will require completion of a State of Texas Subcontracting Plan promoting opportunities for certified Veteran-Owned Businesses.
