About this opportunity

The Colorado School of Mines has issued a Request for Proposal (RFP) numbered MINES24027 for a comprehensive electronic ticketing system to be implemented across campus departments. The procurement seeks a cloud-based, software-as-a-service (SaaS) solution that will support ticket sales operations for Athletics, Student Life, and other campus events, with current annual ticket sales of approximately 80,000. The system must provide robust functionality including online, in-person, phone, and group ticket sales, with capabilities for package renewals, seat selection, and integration with existing campus systems like Workday and CASHNet. Evaluation will be point-based, totaling 250 possible points (25 points for cost, 200 points for performance, with additional points for proposal format and overall fit). Key technical requirements include maintaining PCI 4.0 compliance, supporting single sign-on authentication, providing 99.95% system availability during business hours, and meeting Web Content Accessibility Guidelines (WCAG) 2.0 AA standards. The RFP was released on March 12, 2024, with proposals due by April 15, 2024, at 3:00 PM Mountain Time, and an anticipated initial contract term of up to three years with potential extension to five years.

While no specific set-aside designations were explicitly mentioned, the RFP indicates potential flexibility in pricing models, including lump sum and variable pricing with potential ticket surcharges. The current payment infrastructure utilizes CASHNET for credit card transactions, and the new system must be compatible with existing PC infrastructure and scanner systems. Ticket prices vary by event type and attendee category, ranging from free for faculty/staff and students to $25 for reserved football seating. The institution currently processes 151,188 athletic event tickets and 48,522 tickets for other campus events annually. The system is expected to provide comprehensive ticket management across all campus departments, not limited to athletics, with a tentative implementation start date of July 1, 2024. While a specific budget range was not disclosed, the RFP suggests a comprehensive and sophisticated ticketing solution that will require significant technological capabilities and robust security features.

Opportunity text

Mines is seeking a qualified firm ("Contractor") to provide a web-based ticketing software system ("System") for use on the Mines campus. Mines currently uses a web-based ticketing software in a centrally located ticket office to manage ticket sales and operations for various Athletics, Student Life and other campus-wide events. Mines sells 80,000 tickets annually through the current ticketing system. Mines sells tickets in-person, over the phone and through a secure web page. Mines is looking to expand this operation so that all departments across campus can access the System and manage ticket sales for their events.
