About this file
Addendum 1 for Bid Number MINES24027 is a document issued by the Colorado School of Mines on March 29, 2024, addressing questions related to an Electronic Ticketing System Request for Proposal (RFP). The addendum provides detailed responses to 11 vendor inquiries about the proposed ticketing system, which is intended to be implemented for the 2024-2025 season with a tentative start date of July 01, 2024. The system will be utilized across campus, not limited to athletics, and is designed to manage ticket sales for various events, with the institution currently selling approximately 151,188 athletic event tickets and 48,522 tickets for other campus events annually.
The pricing structure is flexible, with the school indicating that proposals can include both lump sum and variable pricing models with potential ticket surcharges. Ticket prices vary by event type and attendee category, ranging from free for faculty/staff and students to $25 for reserved football seating. The current payment processing occurs through CASHNET for credit card sales, with a preference for hardware compatibility including current PC infrastructure and scanner systems. The RFP seeks a comprehensive web-based ticketing software solution with capabilities for online, telephone, and in-person sales, including potential point-of-sale (POS) and e-ticket reader functionality across different campus event types.

Question Response 1 Is the selected solution to be implemented in the 2024-2025 season? What is the agreement’s expected term start date?
If possible, the solution would be implemented in the 2024-2025 season with a tentative term start date of July 01, 2024.
2 Please provide historic sales data (ideally 3 years) that includes number of tickets sold online, number of tickets sold via telephone (if applicable), and number of tickets sold at the box office, ideally separated by event type (sport vs others)
Total for Athletic Events: Paid tickets: 101898, Zero dollar tickets (students, fac/staff, president, VIP & Comps): 49290 total tickets from 2019- 2024 151188
All other events held on campus total number of tickets 48,522
3 Is there any required integration with Concessions/Food&Beverage vendors?
There is no required integration with concession/food & beverage vendors. We would like to have concession/food ability if we decide to use this for the beer garden for sales and inventory control
4 By “lump sum” pricing, does Mines refer to a pricing model of a fixed annual fee? Will proposals with a variable component (dollars or % surcharge per ticket) be disqualified?
Lump sum is not required.Proposals with a variable component will not be disqualified and will be fully considered.
5 What percentage of tickets are for students/faculty members (free, from our understanding of your pricing)?
Faculty/Staff for Athletic Events are free for all regular season contests. We will not utilize our ticketing system (unless it is the one contracted through the Rocky Mountain Athletic Conference) for post-season conference events. We will utilize for all NCAA events that take place on our campus. % of tickets depends on athletic event.
6 This may be overruled by the question on "lump sum" pricing: Can the ticketing fees be reflected directly to the user via a surcharge on the ticket price?
Yes.
7 Can you provide a yearly Average Ticket Price for reference?
This will be a system that we will utilize across campus and will not just be limited to athletics usage.
Athletics yearly tickets prices from 2023-24 are listed below: 2023-24 TICKET PRICES
Adult= 18 & over | Child= age 17 - 13 | Senior= 65 & over
Kids 12 and under are FREE for all home events except NCAA Playoff Games.

8 What percentage of ticket sales are for individual games vs season passes?
Athletics/My best guess would be 30%/70% (Football Only)
9 How frequently are payments for tickets sold expected to be made to the Colorado School of Mines? More generally, what is the invoicing and payments format?
All tickets are processed through CASHNET for credit card sales, both online and walkup. Cash sales are deposited into CASHNET walkup only
10 Are there specific hardware and software requirements for the technical capabilities that are preferred or mandatory? E.g.: - There is no mention of fundraising software. Is this an expected/required software? - Specific hardware for access control that should be provided?
Yes, Hardware is current PC base, scanners from current if able to work with another system, prefer purchase of scanners vers renting
11 Do you require specific Access Control equipment, including but not limited to:
turnstiles, self-service ticket kiosks, handhelds e-ticket readers, metal detectors, etc.
Yes, POS for walkup sales, e-ticket readers
