About this opportunity

Sarasota County is requesting quotes for lock and key parts and accessories under an Invitation for Quotes (IFQ) posted June 22, 2026, with quotes due the same day through the OpenGov Procurement portal.

Local and American business preferences do not apply due to grant funding requirements. Vendors must demonstrate one verifiable reference showing experience providing commercial lock and key parts and accessories within the seven years preceding submission. All employees performing work must wear visible identification containing a color photograph, employee name, and company name, and must comply with County workplace requirements including smoking restrictions, parking regulations, and security procedures.

The scope comprises lock and key parts and accessories for County facilities. The County routinely uses products from BEST, CORBIN, LCN, NORTON, SECO-LARM, VON DUPRIN, and YALE but will accept products from other manufacturers. Pricing follows a dual structure: unit costs listed on a Fee Schedule for commonly ordered items, and a percent discount off list price for items not specifically listed. Quotes must not exceed $150,000 per project or contract year. Delivery must be Free On Board (FOB) Destination with no minimum order requirements. Vendors must acknowledge orders within 24 hours and provide quotes within three business days. All deliveries are expected within ten business days of order placement unless the vendor notifies the County in writing of a longer timeline and receives written approval.

The initial contract term is one year. Pricing shall remain firm for the initial contract term, with annual adjustments permitted based on the Producer Price Index (Hardware Manufacturing), capped at a maximum ten percent increase per adjustment period. The vendor must maintain Commercial General Liability insurance with limits of not less than $1,000,000 per occurrence and $2,000,000 aggregate, naming Sarasota County as an additional insured. Vendor invoices must be submitted within two weeks of product delivery and must clearly indicate the County's purchase order and work order numbers.
