About this opportunity
The Florida Department of Transportation (FDOT), specifically District Two Procurement Office, is soliciting sealed bids for the Lake Jeffery Crew Building VTC Upgrade project located in Clay County. The procurement is an Invitation to Bid (ITB) for a comprehensive audiovisual system upgrade for a crew conference room, with specific requirements including the installation of two 98" and four 75" flat panel displays, wall-mounted cameras, a Microsoft Teams Room UC system, wireless conferencing devices, and associated audio equipment. A mandatory pre-bid conference is scheduled for March 26, 2025, at 1:00 PM, with final bids due on April 4, 2025, by 2:00 PM at the FDOT District 2 Headquarters in Lake City, Florida. The contract term is six months from execution, with potential renewal for up to three years based on performance and fund availability. Vendors must provide a detailed system design, complete installation, and a one-year on-site warranty with next-day response, with specific technical requirements for AV over IP encoders and decoders to create a full matrix display system.
The procurement strongly encourages participation from small, minority, women, and service-disabled veteran businesses, with potential preference given to veteran-owned businesses or those with drug-free workplace programs in case of tied bids. Vendors must be registered in the MyFloridaMarketPlace system and comply with various state regulations, including minority business enterprise participation, drug-free workplace certification, and scrutinized companies list requirements. The solicitation emphasizes compliance with multiple civil rights statutes, including Title VI of the Civil Rights Act, prohibiting discrimination based on race, color, national origin, sex, disability, and age. While a specific budget range is not explicitly stated, the comprehensive technical requirements suggest a substantial investment in audiovisual infrastructure. Bidders must demonstrate technical capability to integrate complex AV systems and comply with extensive federal and state non-discrimination and accessibility guidelines.
