About this file

This is an Invitation to Bid (ITB) issued by the Florida Department of Transportation (FDOT), District Two Procurement Office, for the Lake Jeffery Crew Building VTC Upgrade project (Bid Number DOT-ITB-25-2015-JB). The project involves a comprehensive audiovisual system upgrade for a crew conference room, including the installation of multiple flat panel displays (two 98" and four 75"), wall-mounted cameras, a Microsoft Teams Room UC system, wireless conferencing devices, and associated audio equipment. A mandatory pre-bid conference is scheduled for March 26, 2025, at 1:00 PM, and bids are due on April 4, 2025, by 2:00 PM. The contract term is six months from the date of execution, with potential for renewal up to three years, contingent upon satisfactory performance and fund availability.

The bid requires vendors to provide a detailed system design, complete installation, and one-year on-site warranty with next-day response. The project has specific requirements for AV over IP encoders and decoders to create a full matrix system, allowing any device connected to an encoder to be displayed on any decoder-connected display. Vendors must be registered in the MyFloridaMarketPlace system and comply with various state regulations, including minority business enterprise participation, drug-free workplace certification, and scrutinized companies list requirements. The Department encourages small, minority, women, and service-disabled veteran businesses to compete for the contract, with potential preference given to veteran-owned businesses or those with drug-free workplace programs in case of tied bids.
