About this opportunity
The Hawaii State Department of Education Procurement and Contracts Branch is requesting bids on furnish-and-deliver school and library furniture statewide for the Hawaii State Department of Education (HIDOE) and the Hawaii State Public Library Systems (HSPLS) under IFB D26-172, with bids due October 22, 2026 at 4:30 p.m. Hawaii Standard Time and pre-qualification requests due September 24, 2026. Offerors must be authorized distributors or resellers with a minimum of five years' prior experience in school and library furniture, supported by manufacturer documentation — a core eligibility filter.
The scope encompasses eight furniture groups totaling over 51 distinct item categories, including classroom furniture (student chairs, desks, tables, stools), science lab furniture, music furniture, health room equipment, classroom storage, cafeteria and dining furniture, library tables and carrels, and office furniture. Estimated quantities range from one unit to 2,400 units depending on item and size. All furniture must be new, of superior quality, and free from defects. Products must hold GREENGUARD, Scientific Certification Systems (SCS) Indoor Advantage Gold, or MAS Certified Green certification and comply with ANSI/BIFMA testing standards. Minimum ten-year manufacturer warranty is required from acceptance date; fabrics and upholstery warrant five years minimum. The contractor must provide on-site warranty repairs during the initial two years and coordinate manufacturer warranty repairs for years three through ten. Bids are organized by four geographic regions (Oahu, Hawaii, Maui/Molokai/Lanai, and Kauai), and bidders may respond to any or all regions.
Offerors must maintain an operational office on the island of Oahu with direct telephone access and designate at least one employee-based point of contact in Hawaii available 7:45 a.m. to 4:30 p.m. HST, Monday through Friday, for customer support. All bid prices are inclusive of state and local taxes and must be submitted electronically through the Hawaii eProcurement System (HIePRO). The contractor must affix non-erasable decals to each furniture piece and conduct mandatory criminal background checks on all employees and subcontractors working with students. Contact Kanako Tamashiro, Procurement and Contracts Support Specialist, at 808-675-0130 for solicitation-specific questions.
