About this opportunity

The Fulton County School System (FCS) in Georgia, the state's fourth largest school district serving approximately 93,500 students across 106 schools and administrative buildings, is issuing a Request for Proposal (RFP No. 183-26) for Computer Hardware, Related Peripherals, Accessories, and Implementation Support Services. This is a requirements contract with no guaranteed minimum quantities, seeking to establish purchasing methods for computing equipment to support instructional goals, staff productivity, and hardware refresh initiatives. The solicitation requires offerors to be original equipment manufacturers (OEMs) or authorized partners and specifies multiple hardware categories including standard and eSports desktop computers with Intel Ultra or Ryzen processors and 16GB RAM; five laptop configurations ranging from standard 14-15 inch models to power user laptops with up to Ultra 9 processors and 32GB RAM; storage solutions including 30-40 unit capacity charging carts; peripherals such as monitors and docking stations; and accessories including backpacks, keyboards, mice, power adapters, and cables. All hardware must include a 1-year base warranty plus 3-year extended warranty (4 years total) and Windows 11 Operating System. Implementation services must include asset tagging, imaging, branding sticker application for computers, and assembly and wiring services for storage carts, with both self-maintainer and vendor-hosted warranty support options and a documented Service Level Agreement defining response times and performance standards. Offerors must demonstrate an organizational structure including a dedicated account team with executive, technical, and project managers, identify any contracted local integrators within 50 miles of Metropolitan Atlanta/Fulton County, and provide electronic reporting capabilities for orders, asset data, and repair history. Evaluation will be based on weighted criteria including price and technical capabilities, with awards potentially made on an "All or None" basis or to multiple contractors for different components. The optional pre-proposal conference is scheduled for 9:00 a.m. EST on Thursday, February 12, 2026, via Microsoft Teams; questions must be submitted through the Bonfire platform by 4:00 p.m. EST on Thursday, February 19, 2026; and sealed proposals must be submitted digitally through Euna Procurement (Bonfire) by 2:30 p.m. EST on Thursday, March 5, 2026.

All bidders and proposers must complete and submit notarized Georgia Security and Immigration Compliance documents, including an Immigration and Security Form, Contractor Affidavit and Agreement, Subcontractor Affidavit, and Affidavit of Exception, with failure to provide these documents resulting in automatic bid disqualification. Contractors must demonstrate registration with E-Verify and commitment to use federal work authorization programs throughout the contract term, attest that they are a sole proprietor with no employees, or certify licensure under Georgia Title 26 or Title 43 or by the State Bar of Georgia; additionally, they may not employ or contract with subcontractors unless those subcontractors are similarly registered with federal work authorization programs and provide required compliance documentation. The RFP does not identify any incumbent vendors or set-aside designations for disadvantaged enterprises in the available documents. FCS is exempt from state sales tax and federal excise tax, and pricing must remain firm for each contract year and be quoted F.O.B. destination, including all delivery, unloading, placement, insurance, and associated costs. The base contract performance period shall be as stated in the contract award letter, with four optional one-year renewal periods available at FCS's sole discretion maintaining the same terms, conditions, and pricing. The RFP permits piggyback purchasing by other state and local government agencies at the same quoted prices during the effective contract term with agreement from both parties, though no specific contract value or budget range is disclosed in the available solicitation documents.
