About this opportunity

The City of Philadelphia is requesting quotes on Apple iPad equipment and warranty services through its Office Automation Program via PHLContracts, with quotes due June 8, 2026.

All deliveries must be inside deliveries to a loading dock; drop shipment is not acceptable. The vendor must provide costs for installation, configuration, and debris removal at the city's location unless otherwise directed. The vendor must submit product literature at the city's request and provide training and instruction as part of deliverables.

Warranty coverage extends beyond manufacturer standard, with a minimum three-year term for tablets. Coverage begins after a 30- to 120-day acceptance period. On-site maintenance is required with next-day response time within 24 hours, including all parts and labor. The city offers 3-year and 5-year service-level agreement options; payment is due after equipment delivery and city acceptance.

Vendors must submit quotes through PHLContracts (www.PHLContracts.phila.gov) using the Office Automation Form and Seller Office Automation Checklist provided. Quote submission requires entry of unit costs and optional discounts on an item-by-item basis, responses to mandatory questions, acceptance of terms and conditions, and upload of all required attachments. The city notes that the LBE (Local Business Entity) certification program does not apply to this Office Automation Program procurement. Vendors must address all validation messages before final submission and confirm seller role status in the PHLContracts system. Refurbished equipment is acceptable under this procurement.
