About this file

This is a seller checklist for the City of Philadelphia Procurement Department's Office Automation Program, outlining the procedural steps vendors must complete to submit quotes through the PHLContracts online platform. The checklist guides sellers through a multi-step submission process including general information entry, item pricing configuration, mandatory question responses, terms and conditions review, and attachment uploads. Vendors must confirm their seller role status, answer questions regarding Local Business Entity (LBE) certification status (though the LBE Program does not apply to the Office Automation Program), enter unit costs and optional discounts for listed items, and provide alternate descriptions or supplementary information as needed. The related contract opportunity pertains to Apple iPad and warranty products for the City of Philadelphia, with specific requirements that all deliveries be inside deliveries to a loading dock, vendors must provide costs for installation and configuration unless otherwise directed, and vendors must submit product literature at the City's request upon demand.

Pricing information is to be entered on an item-by-item basis with unit costs and optional discounts specified by the vendor. The submission process requires vendors to download and review all attachments, including the Office Automation Form detailing installation, configuration, and maintenance requirements; accept the terms and conditions of the bid; complete any required attachments; and conduct a final review of the complete quote for validation warnings before submission. The checklist emphasizes that vendors must click "Save & Continue" on every tab to avoid losing work and must address all red validation messages that appear at the top of the screen prior to final quote submission through www.PHLContracts.phila.gov.
