About this opportunity
The Boston Region Metropolitan Planning Organization is requesting quotes for design and installation of audiovisual equipment in multiple collaborative spaces, with bids due September 30, 2026 at 1:00 p.m. EDT. Eligibility is restricted to vendors currently on the OFF50 statewide contract for audio and video equipment or the ITC73 statewide contract for hardware and services — a mandatory cooperative-purchasing vehicle filter.
The scope spans assessment, design, and installation of AV solutions across two conference rooms, seven offices, and one meeting table within the organization's leased office suite at 60 Temple Place, Boston, Massachusetts. Required equipment includes 12 video conferencing cameras, 12 conference-grade monitors (55 to 75 inches), ceiling-mounted microphones and speakers, wireless presentation system, webcam bar, and touch panel control system integrated with scheduling applications such as Zoom or Google Meet, plus all necessary cabling and accessories. The vendor must perform site surveys, installation, configuration, testing and commissioning, provide basic user training and documentation, and deliver warranty and support services. All construction and related costs must comply with Massachusetts General Laws Chapter 149.
The estimated procurement value does not exceed $110,000, funded from federal sources. The contract start date is October 9, 2026, with project completion required by November 6, 2026. Vendor qualifications must include proven experience in AV installations for corporate environments, capability to provide ongoing maintenance support, and at least two references from similar-sized projects.
Mandatory site surveys are scheduled for September 3, 8, and 16, 2026. Questions are due September 21, 2026. Vendor selection is anticipated by October 2, 2026. The vendor must execute the Metropolitan Area Planning Council's standard Professional Services Agreement without material alteration.
