About this opportunity

Sarasota County is soliciting quotes for the production of 13,000 copies of the 2026 NEST "Wild and Green Starts with Me" calendar through a competitive procurement process. The contract requires a print vendor to produce a high-quality calendar with specific technical specifications, including an 11" x 17" paper format that folds to 11" x 8.5", featuring 24 pages plus a cover in 4/4 process color with full bleed. The calendar must be printed on 80 lb matte white recycled paper, with a saddle stitch binding and a 1/4 inch hole for hanging, emphasizing sustainability through the use of recycled and sustainably produced materials. The procurement timeline is rigorous, with key dates including November 13, 2025, for question submissions, November 14, 2025, for bid responses, and a requirement that the print vendor provide a color proof by December 1, 2025. Delivery is mandated by noon on December 9, 2025, with 9,000 copies to be delivered to the Sarasota County Government Warehouse and 4,000 copies to the Sarasota County School Board. The contract will be awarded to the responsive and responsible bidder offering the lowest total bid price, with a maximum quote threshold of $50,000.

The solicitation does not explicitly mention specific set-aside designations or restrictions for disadvantaged enterprises. Vendors are required to submit a minimum of three references demonstrating experience with similar products, and the county will apply local preference in the evaluation process. The procurement includes a Tax Exempt Certificate valid from 2020-2025, which exempts Sarasota County from Florida sales and use tax on purchases related to this contract. Bidders must complete and submit a W-9 form (March 2024 version) as part of their proposal, and the contract emphasizes strict compliance with tax regulations and procurement guidelines. While no incumbent vendors are specifically mentioned, the detailed specifications suggest a focus on environmental sustainability and high-quality printing. The total budget for this project is capped at $50,000, providing potential vendors with a clear understanding of the financial parameters of the contract.
