About this file
This file consists of a Form W-9 (Request for Taxpayer Identification Number and Certification), March 2024 version, required as part of a competitive procurement process by Sarasota County, Florida, for the production of 13,000 copies of the 2026 NEST "Wild and Green Starts with Me" calendar. The calendar specifications require an 11" x 17" paper format that folds to 11" x 8.5", comprising 24 pages plus a cover in 4/4 process color with full bleed on all sides, printed on 80-pound matte white recycled paper with saddle stitch binding and a 1/4-inch hole for hanging. The solicitation timeline includes a question submission deadline of November 13, 2025, and bid responses due by November 14, 2025. The awarded vendor must provide a color proof by December 1, 2025, with final delivery required by noon on December 9, 2025, to two locations: 9,000 copies to the Sarasota County Government Warehouse (BOB Building) and 4,000 copies to the Sarasota County School Board. The contract will be awarded to the responsive and responsible bidder offering the lowest total bid price.
The maximum quote threshold for this procurement is $50,000, establishing the total budget cap for the project. Bidders must submit a minimum of three references demonstrating experience with similar printing products, and Sarasota County will apply local preference during evaluation. The procurement emphasizes environmental sustainability through the requirement that the calendar be produced with recycled content and sustainably produced materials. Vendors are required to submit the W-9 form as part of their proposal package to ensure compliance with tax regulations. Sarasota County has provided a Tax Exempt Certificate valid from 2020-2025, which exempts the county from Florida sales and use tax on purchases related to this contract. No specific set-aside designations for disadvantaged enterprises are mentioned in the solicitation materials.
