About this opportunity
The Department of Veterans Affairs Veterans Integrated Service Network 15 is preparing to procure ongoing cleaning and maintenance services for eighteen 3M/KCI ULTA Wound V.A.C. units at the St. Louis VAMC, with a sources-sought response deadline of November 4, 2026, at 11:00 AM Central Time. This is market research preceding a solicitation (36C25527Q0033); no set-aside is anticipated.
Performance will span two VAMC facilities: John Cochran Division (915 N. Grand Blvd., St. Louis, MO 63106) and Jefferson Barracks Division (1 Jefferson Barracks Dr., St. Louis, MO 63125). All cleaning, disinfection, and maintenance will occur at the vendor's off-site location; the vendor bears all travel costs.
The vendor must deploy a dedicated KCI-authorized professional to conduct regular site visits, collect units post-patient use, perform off-site cleaning and disinfection, execute preventative and corrective maintenance per manufacturer specifications, and complete V.A.C. Ulta Therapy Unit checklists with documentation of unit serial numbers, test equipment certification, next maintenance dates, and HTM/Biomedical inspection labels. Performance standards mandate 90–100% compliance for unit collection (within 48 hours), 100% cleaning/disinfection (within 48 hours), preventative maintenance prior to follow-up requests, and 100% checklist completion (within 48 hours). The vendor must establish an online ordering account for facility asset management and track all VA-owned units.
The contract term is one year from award with four option years. Prospective vendors must provide at least three past-performance references for similar large medical center contracts completed within the last two years, a capability statement, product brochures, and an OEM-authorized service provider letter. Registration in SAM.gov and electronic representations and certifications are required.
