About this opportunity

The National Cancer Institute (NCI) is conducting a Sources Sought Notice to identify qualified businesses capable of providing comprehensive maintenance services for Varian Aria-Eclipse-TrueBeam radiation therapy systems. The notice seeks potential contractors to support maintenance of two TrueBeam STX linear accelerator systems and associated software, including ARIA v16.1 and Eclipse v16.1. Interested vendors must demonstrate expertise in medical equipment maintenance, with specific requirements including 24/7 remote monitoring, 97% minimum system uptime, preventive maintenance, and emergency technical support. Contractors must be ISO 9001 certified, FDA accredited, and have technicians with a minimum of two years factory training. Responses are due by December 11, 2024, at 10:00 AM EST, and must be submitted via email to Contracting Officer John Russell, including a completed Vendor Questionnaire and supporting documentation.

The solicitation does not currently have a specific set-aside designation, but NCI is particularly interested in identifying small business capabilities for potential future small business set-aside consideration. The contract will cover a 12-month base period from June 2, 2025, to June 1, 2026, with four additional 12-month option periods extending potential service through June 1, 2030. Key service requirements include three annual preventive maintenance inspections for TrueBeam platforms, software updates, and annual training events. Emergency service response times are specified as 1-hour initial response and 4-hour onsite response during standard and extended business hours. Optional requirements may include hardware refreshes for Eclipse systems and upgrades to TrueBeam accelerators with Varian's HyperSight imaging solution in fiscal years 2026-2027. The notice uses NAICS code 811210 with a size standard of $34.0 million, indicating the potential scale of the procurement.
