About this opportunity

The National Cancer Institute (NCI), a component of the Department of Health and Human Services, is seeking to procure sole source maintenance and upgrade services for its Varian TrueBeam/ARIA/Eclipse Radiation Therapy System from Varian Medical Systems, Inc. The procurement is specifically for comprehensive maintenance of two linear accelerator platforms and associated software systems for the Radiation Oncology Branch. Key contract requirements include maintaining 97% system uptime, providing 24/7 remote monitoring through Varian SmartConnect, conducting three annual preventive maintenance inspections, and offering software maintenance for ARIA and Eclipse systems. Evaluation will focus on the vendor's ability to meet the government's unique technical requirements and provide proprietary system support.

The procurement has no specific small business set-aside, and the anticipated contract includes a 12-month base period from June 2, 2025, to June 1, 2026, with four potential 12-month option periods extending through June 1, 2030. Varian Medical Systems is the sole potential awardee due to being the Original Equipment Manufacturer with exclusive rights to system licenses, software, and firmware, and the only provider with factory-trained personnel authorized to service the equipment. The contract falls under NAICS code 811210 with a business size standard of $34 million. Optional line items include potential hardware refreshes for Eclipse systems and upgrades to Varian's HyperSight imaging solution anticipated in fiscal years 2026-2027. Contractors must be registered and have valid certification in SAM.GOV to be eligible for award, and the services will be performed at NIH facilities in Bethesda and Rockville, Maryland.
