About this opportunity

The U.S. Consulate General in Chennai, India, has issued a Request for Quote (RFQ) for the supply and installation of 27 exhaust fans at their consulate office building, along with related modifications including exhaust duct work, electrical wiring, and false ceiling restoration. This procurement is primarily intended for local vendors in Chennai who can provide ongoing service support in the area, with all vendors required to demonstrate established business operations and technical capabilities. The solicitation requires vendors to submit comprehensive quotes including technical specifications, warranty details, and compliance with safety requirements, with evaluation to be conducted on a "lowest priced, technically acceptable" basis. Critical procurement milestones include a mandatory site visit scheduled for July 2, 2025, at 2:30 PM IST (with registration required by July 1, 2025), a deadline for vendor questions by July 3, 2025, and final quote submission due by July 11, 2025, at 3:00 PM IST. All quotes must be submitted electronically to the Contracting Officer Michael John Dudte, with mandatory attachments including technical evaluation forms, NDAA compliance documentation, and vendor qualification sheets.

This solicitation operates under no set-aside designation and is open to all responsible sources, though it specifically targets local Chennai-based vendors due to the service support requirements. The project involves the supply and installation of 30 UL-approved exhaust fans with varying capacities ranging from 85 to 5,300 CMH, preferably equivalent to Green Heck make, representing a comprehensive ventilation system upgrade. While specific contract values are not disclosed in the solicitation notice, the procurement will be awarded as a firm fixed-price contract with payment made via electronic fund transfer within 30 days of service completion. The work will be performed at the U.S. Consulate General Chennai located at No. 220, Anna Salai, Chennai 600 006, India, with contractors required to comply with strict operational guidelines including specific working hours (8:30 a.m. to 5:00 p.m., Monday-Friday) and comprehensive safety protocols. Vendors must also register in the System for Award Management (SAM) if the order value exceeds $30,000 and demonstrate compliance with various federal regulations including cybersecurity requirements and telecommunications equipment restrictions.
