About this opportunity
The Department of State is seeking preventive maintenance services for the Consular Audiovisual (AV) System at the U.S. Embassy in Mbabane, Eswatini, which includes intercom, paging, and display systems. This procurement requires contractors to provide semi-annual inspections of the AV system head-end and teller windows, along with on-demand service calls for emergency repairs using trained technicians who can perform routine maintenance inspections, test system components, clean equipment, and check for damages. All contractors must be registered in the System for Award Management (SAM) Database prior to submitting an offer, and proof of registration must be included with the quotation. The evaluation will be based on best value to the government, with all non-price factors combined being significantly more important than price, focusing on technical capabilities, experience with similar AV systems, and ability to meet operational needs. Quotations are due by August 6, 2025, at 17:00 hours SAST, with separate technical and price proposals required.
This solicitation does not utilize any set-aside designations and is open to all responsible sources. No current contractors or incumbents are identified in the documentation. The contract structure includes a base period of twelve months with four optional one-year extension periods, creating a potential total contract duration of five years. The resultant contract will be a firm fixed-price type with pricing to be submitted in local currency, and the government reserves the right to award based on initial offers without further discussions. Performance will take place at the U.S. Embassy in Mbabane, located in the Hhohho Region of Eswatini, where contractors must maintain system functionality and provide comprehensive reports after each inspection along with remote technical support capabilities.
