About this opportunity
The Department of Education is soliciting quotes for lodging and meeting services for the National Assessment Governing Board's November 2025 Quarterly Board Meeting in the Washington, DC Metropolitan area. The procurement requires a hotel venue capable of providing 30 guest rooms (preferably king rooms) for Wednesday and Thursday nights, along with meeting spaces including a general session room with hollow square setup for 28-30 participants, three breakout rooms, and a 24-hour staff room. The venue must also provide food and beverage services for 40 participants, audiovisual equipment including conference cameras and microphones, and comply with federal per diem rates and ADA requirements. Evaluation will be conducted based on technical quality, cost/price, and past performance, with technical factors being significantly more important than price. The deadline for clarification questions was August 26, 2025, and quotes are due by September 16, 2025.
This opportunity is designated as a total small business set-aside under NAICS code 721110 (Hotels and Motels) with a small business size standard of $40.0 million. The solicitation requires vendors to maintain active registration in the System for Award Management (SAM) and provide a Unique Entity ID number with their quotes. The meeting will take place over two days on November 20-21, 2025, with lodging required for three days before and after the event, accommodating approximately 40 participants total. Services must be performed in the Washington, DC area, with guest room billing handled through a GSA Smart Pay Centrally Billed Account while guests remain responsible for incidental charges. The procurement emphasizes a paperless meeting environment and requires the venue to offer complimentary Wi-Fi, parking, and other standard hotel concessions.
