About this opportunity
The NATO Communications and Information Agency (NCIA) issued a Request for Information on June 15, 2026 to identify qualified vendors and gather input on market solutions for a NATO-Wide Studio video teleconferencing maintenance support contract, with responses due by 12:00 hours Central European Time on July 3, 2026. This RFI is issued for planning purposes only and is not a request for bids. Participation is restricted to companies from NATO member countries.
NCIA seeks industry input to inform acquisition planning for preventive and corrective maintenance, break-fix support, and service management covering VTC and audio-visual systems across NATO facilities in member nations and deployed locations. The anticipated contract performance begins in 2027 with a one-year base period and three optional one-year extensions. Performance requirements include response times ranging from 1 hour for critical incidents to 1 business day for medium priority issues, with service restoration targets of 4 hours to 3 business days depending on severity.
Respondents must address company capabilities and relevant experience, comments on draft requirements, responses to five specific capability questions regarding hardware and software maintenance, IT operations management, on-site support provision, resource availability, and service level differentiation, innovations and alternatives, rough order magnitude pricing with assumptions, and identified risks or mitigation suggestions. Responses must not exceed 15 pages, excluding cover pages, brochures, and attachments. The scope encompasses over 700 VTC and related products, with equipment primarily based in Belgium and distributed across NATO member countries and the United States. RFI reference number is RFI-07296-VTC.
