About this opportunity
The U.S. Embassy in Mexico City is seeking production logistics services and equipment rental for its 4th of July event, specifically targeting tents and decorative plywood flooring. The Department of State's Embassy in Mexico is soliciting proposals from contractors who can provide comprehensive event production services, including audio, lighting, staging, and technical equipment. Interested vendors must be registered in the System for Award Management (SAM) and submit their proposals electronically by May 16, 2025, at 11:00am CST. A mandatory site visit and pre-proposal conference is scheduled for May 7, 2025, at 12:00pm in Paseo de la Reforma, with potential vendors required to register by May 6, 2025. The government will evaluate proposals based on technical acceptability and pricing, with the potential to award the contract without further discussions. All questions must be submitted in writing by May 11, 2025, to mexicocitygsosolicitations@groups.state.gov.
The solicitation is not a small business set-aside and will result in a single award firm-fixed price contract payable entirely in Mexican Pesos (MXP). The place of performance is located in Colonia Cuauhtémoc, Mexico City, with all production logistics and equipment to be installed by June 25, 2025, for a June 26, 2025 event. The contract falls under the NAICS category of Convention and Trade Show Organizers (561920) and the PSC category of Musical Instrument Equipment Rental (W077). While specific budget ranges are not explicitly detailed, the solicitation covers comprehensive event production including audio consoles, speakers, microphones, lighting rigs, LED screens, stages, pipe and drape, generators, and support personnel. The U.S. Embassy reserves the right to cancel the Request for Quotations or not make an award, maintaining flexibility in the procurement process.
