About this opportunity
The Department of Veterans Affairs Veterans Health Administration Veterans Integrated Service Network 15 (Eastern Kansas Health Care System) is soliciting qualified Diagnostic Medical Physicists to provide comprehensive medical physicist testing services for diagnostic and therapeutic imaging equipment across multiple VA facilities, including the Kansas City VA Medical Center and associated clinics. The services encompass annual performance testing, auditing, and support for CT, MRI, nuclear medicine SPECT/CT, PET/CT, fluoroscopy systems, and linear accelerators, with requirements to ensure compliance with ACR, Joint Commission, and VA regulations. Key qualifications and objectives include conducting detailed performance testing, radiation safety assessments, protocol optimization, dose monitoring, and providing 24/7 consultation services. Evaluation will be based on technical capability, past performance, and price, with technical factors and past performance significantly outweighing price considerations. The solicitation (36C25526Q0077) was posted on November 13, 2025, with an initial deadline of November 24, 2025; however, an amendment extended the offer receipt deadline to November 28, 2025, at 10:00 AM CST.
This solicitation has no set-aside designation and represents a total small business set-aside opportunity with an estimated total contract value of approximately $19 million. The contract structure includes a base year with four one-year option periods, commencing December 31, 2025, and no incumbent contractor information is specified in the available documentation. Performance will take place at multiple VA facilities within the Eastern Kansas Health Care System network, including the Kansas City VA Medical Center and associated clinics. The solicitation emphasizes comprehensive pricing that includes therapy medical physics annual testing for linear accelerator units to ensure equitable competitive comparison among all bidders, even though the VA may ultimately perform certain testing services in-house with existing medical physicists.

Questions and answers to solicitation 36C25526Q0077
Q - For the Linac that is listed, do you want us to bid therapy medical physics annual testing of that unit? Prices are very high for these, and they are usually not included in diagnostic medical physics bids
A - I would say yes because we can easily not pursue the testing on those rooms if they are doing it with in-house medical physicists, so we would not receive an invoice for it, but, we also want to compare costs apples to apples, and if anyone else bids and does include those services, they will be unfairly left out.
