APPENDIX G

COST ESTIMATE APPROVAL PROCESS

An approved written cost estimate is required prior to performing any maintenance repair work.

The maintenance contractor shall prepare a written cost estimate within 48 hours of receiving notification of an open work order. The repair cost estimate shall include all elements contained in the form at Appendix F.

The repair cost estimate shall be submitted electronically via e-mail to the QA/COR. When electronic submission is unavailable, the contactor shall prepare a hard copy and hand carry the estimate to the QA/COR.

The QA/COR shall make a repair recommendation and determines the Maintenance Expenditure Limit (MEL). MEL is a computation to accurately make cost-effective repair or buy decisions.

The COR signs the Estimate Form then notifies the maintenance contractor when the cost estimate is approved, deferred, or when a turn-in decision is made.

Cost estimates under $500.00 or unique situations may be approved on-site by the QA and/or telephonically by the COR. An Estimate Form shall be prepared within 24 hours of the completed work. The estimate shall be marked “COR/QA ON-SITE APPROVAL”.
