MEMORANDUM FOR RECORD

SUBJECT: MINUTES OF PRE-BID CONFERENCE AND SITE VISIT, SOLICITATION

W50S7G-25-B-A002, PROJECT TITLE

17 April 2025 – 0930 – Approximately 60 minutes

1. The list of contractor’s and Government representatives attending the meeting is shown on the attached sign-in sheet.

2. The following items were discussed during the Pre-proposal Conference:

a. Restroom and Designated Smoking area are available for the contractor to use.

b. The contractor will need to sign-in and out each day so the Government is aware of who and how many people are inside the POL area.

c. The roadway will be driven on to deliver fuel. The contractor shall keep this clear and swept.

d. Dig Permit: The contractor will need to submit a dig permit to DigRite and also to the Government project manager.

e. Grass repair: Fix ruts and put down seed.

f. Before you enter the main gate, you must go to the commercial vehicle inspection tent for screening.

3. A PowerPoint slide presentation on the project specifics and the selection process was provided to all attendees. (Attached)

4. Questions must be submitted in writing via email, especially technical questions to:

joshua.zachariah.2@us.af.mil and adam.danner.1@us.af.mil. DO NOT CONTACT the Design Engineers or the Government Engineers. All questions must be routed through the Contracting Office. All Contractor questions when answered will be posted to the website. If a question arises that will result in a change to the plans or specifications, an official amendment will be issued. All correspondence, questions and answers, amendments etc. will be issued or posted at SAM.gov.

5. The attendees were driven out to various sites including: POL area and bid opening location.

6. Any amendments and Questions and Answers that are issued will be posted to the website.

Contractors are advised to check the website frequently.

7. The pre-proposal conference and site visit was concluded at 1030
