Exhibition Program Statement of Work Exhibition Design SAMPLE TASK traveling banner
Purpose
The Exhibition Program is producing a new NLM Traveling Exhibition project that explores science and society. NAME OF EXHIBITION draws on the collections of the National Library of Medicine and the History of Medicine Division. One purpose of the project is to support the institution’s fulfillment of its strategic plan specifically: GOAL 2: Reach more people in more ways through enhanced dissemination and engagement pathways.
This project consists of designing, producing, fabricating, and delivering two copies of a new NLM Traveling Exhibition and two collateral print pieces (brochure and poster) that are delivered via 508 compliant PDFs. This work adheres to the specifications outlined in the original Statement of Work and the accepted proposal/clarifications that form the foundation for this purchase order.
Thus, the National Library of Medicine requests a cost proposal for key personnel (ie: project manager and exhibition designer) to design, produce, fabricate, and deliver a new NLM Traveling Exhibition and related PDFs for a brochure and poster.
Statement of Work
The design and development process for NAME OF EXHIBITION will adhere to the Process or Methodology of the original Statement of Work and accepted proposal clarifications.
The specifications for this project will adhere to the Requirements for Traveling Banner Exhibitions and Brochure and Poster of the original Statement of Work and accepted proposal clarifications.
Typical NLM Traveling Exhibition
For this typical task, NLM Traveling Exhibition will be two (2) copies of six (6) roll up style graphic banners.
1. The Vendor develops the design and production schedule for the project.
2. The initial phase of the project, which may be considered the concept design phase, concludes with at minimum: an approved distinctive visual and graphic identity, logo treatment, image treatments, color palettes, identified fonts, full size text samples, etc., and a design approach for a minimum of two banners that incorporates delivered content.
The two banners will be the introduction banner and one of the other five (5) banners.
The deliverable may be PDFs (less than 10MB in size) or another electronic representation (less than 10MB in size) that will be sized to easily print out on standard desk‐top PCs that do not have high end graphic capabilities at 11”x17”. The PDFs will be appropriately titled, include delivery date, and have page numbers.
3. The next phase of the project, which may be considered design development, incorporates Exhibition Program feedback from the initial design phase and applies the approved design approach across all six (6) banners and incorporates all exhibition content. The Exhibition Program will review and provide feedback, which the Vendor will incorporate into a final deliverable for design development. The deliverable may be PDFs (less than 10MB in size) or another electronic representation (less than 10MB in size) that will easily print out on standard desk‐top PCs that do not have high end graphic capabilities at 11”x17”. The PDFs will be appropriately titled, include delivery date, and have page numbers.
4. The final phase of design, which may be considered Final design, incorporates Exhibition Program feedback from design development and final text corrections prior to the Vendor preparing production ready files.
5. During the production or fabrication phase, the Vendor will produce the final NLM Traveling Exhibitions. The Vendor will provide for review by the Exhibition Program full size, final material samples (full size excerpts are acceptable) to verify quality of reproduction of images, color veracity, and legibility of type, and to confirm the specified materials are being used.
All deliverables are expected to be of superior workmanship, match quality of approved samples, and be free of finish imperfections, lamination weaknesses, surface flaws or blemishes, and production errors.
6. After all deliverables have been accepted by the Exhibition Program, the Vendor will deliver a close out package. This deliverable, sometimes made on an USB flash drive, will include relevant files organized in such a way to permit easy updates and corrections to the exhibitions.
Brochure and Poster
For this typical task, the collateral exhibition brochure and poster are included.
1. The Vendor develops the design and production schedule for the project, which anticipates up to 3 rounds of design review and 1 round of content review.
2. The graphic identity of the exhibition project are used on the brochure and poster.
3. The purpose of the poster is to create a promotion tool for other institutions to add specific programming information related to the exhibition. Thus, the design of the poster include space for site specific content to be added by others.
4. All deliverables must pass inspection for 508 Accessibility compliance.
5. After all deliverables have been accepted by the Exhibition Program, the Vendor will deliver a close out package. This deliverable, sometimes made on an USB flash drive, will include relevant files organized in such a way to permit easy updates and corrections to the exhibitions.
