2. SCOPE
Clackamas County Tourism is the Destination Organization for Clackamas County, marketed as Oregon’s Mt. Hood Territory. Our work includes promoting responsible travel to and within the destination to optimize economic impacts from tourism in our communities. As a destination organization, we work to serve the needs of our visitors, residents and local tourism industry partners while considering the impacts of tourism on place. 5-Year Strategic Priorities.
Clackamas County Tourism staff work under the Tourism Development Council (“TDC”) advisory board. We operate as part of a larger tourism ecosystem, and Clackamas County is part of three of Travel Oregon’s seven regions of Oregon (Mt. Hood/Gorge, Willamette Valley and Portland Region), which translate to three distinct tourism experiences in our county (mountain, valley and urban) each with its own set of opportunities and challenges for destination management.
BACKGROUND
With a value around data-informed decision making and strategies, Clackamas County Tourism invests in various sources of destination data as well as has access to research provided by state and national Destination Management/Marketing Organizations. Our staff currently provides a broad overview of destination trends through in-house quarterly and annual reports that are shared with our board and our “partners” - tourism-related businesses and entities throughout Clackamas County. We are looking to expand the way we track and use data to better monitor destination health, program performance and answer specific questions to continue to optimize the value of our work.
Our approach to data is holistic - we want our information to tell a story of our destination that goes beyond numbers. In our reports we pair traditional data points like lodging tax revenues with relevant destination information (like a late snowfall on Mt. Hood or a large event) to monitor trends alongside the on-the-ground realities that shape travel. We serve as a data resource to local tourism partners especially through our investment in Datafy. Our staff, TDC and tourism community are all eager to dive deeper into destination and visitor data to better understand and support tourism across Clackamas County.
3. SCOPE OF WORK
This RFQ is for a two-year contract. Work in year one will be focused on identifying, sourcing and integrating our data sources and new sources into a comprehensive and interactive Destination Management Dashboard. Work in year two will include monitoring and recommendations to enhance our data through new interpretations or additional data sources.
Contractor to Provide:
• A timeline for contractor’s onboarding of Client resources
• Customized Destination Management Dashboard utilizing existing, planned-for, and contractor suggested data sources. Dashboard should provide the opportunity to overlay different data sources to dig deeper into trends and specific data-driven questions. We would like the Dashboard to show a country-wide report as well as 3 sub-regional breakdowns (mountain, urban, valley).
• Updates to data as new information is released - monthly, annually or one-off. Maintenance of data from any sources with Application Programming Interface (“API”) integration to dashboard.
Includes breakouts by region from some sources.
• Delivery of Client-requested research assets for reports (quarterly, annual and as needed).
• Tourism industry data expertise.
• Recommendations to optimize data, including new formats and/or data resources and platforms to better enable us to measure our impact and destination health.
• Expertise and assistance as we undergo a visitor research study, beginning spring 2024.
• Expertise and assistance with development and implementation of feedback mechanisms as needed.
