About this file

This is an Addendum document (Addendum 01) for RFP No. 2025-16 from the Washington Office of Superintendent of Public Instruction (OSPI), capturing questions and answers from a Pre-Bid Conference held on December 16, 2024. The RFP relates to creating educational materials for American Chinese History Month. The document addresses three key questions from the pre-bid conference, clarifying that the materials should be suitable for all K-12 grade levels, with the implementation process including an initial meeting with the selected bidder, followed by three weeks of design drafting and 2-3 weeks for OSPI's internal approval process.

The document indicates that no additional educational resources beyond the posters are required by the legislative proviso, and implementers will determine how to integrate the posters with other materials. Project management will be handled by Robin Howe, who will be accessible throughout the process. All communications must be directed to contracts@K12.wa.us, with communications to other parties considered unofficial and potentially resulting in disqualification. The document specifies that no changes to the original solicitation document are required based on these questions and answers.

OSPI RFP No. 2025-16 | Addendum 01 Page 1 of 1

This document is posted to capture the questions received, and agency answers provided, during the Pre-Bid Conference, which was held on December 16, 2024.

All amendments, addenda, and notifications related to this procurement will be posted on the

OSPI website (if this was an open procurement) and on the Washington Electronic Business

Solution (WEBS) website. Additional questions concerning this procurement must be submitted to contracts@K12.wa.us. Communication directed to other parties will be considered unofficial and non-binding on OSPI, and may result in disqualification of the Consultant.

1. Question: Is the expectation for a one-size-fits-all approach, or should the content be modified for different age groups?

Answer: Yes, this is meant to be able to be put up in any grade, K-12.

2. Question: Will there be additional educational materials to support educators to implement culturally responsive discussions about these posters as part of this RFP?

Answer: There is currently no directive from the legislature through this proviso to provide additional resources outside of the posters. It is currently the assumption that those who choose to use the posters will determine to what level of complexity the posters will be integrated with other educational materials.

3. Question: Will you please provide what the communication and review process will be during the implementation process? How long does it take for drafts to be reviewed and approved, typically?

Answer: An initial meeting will be set up with the selected Apparent Successful Bidder to go over timeline and enter into negotiations, if applicable. Then, there is an expected three weeks of design drafting with communication via email or meetings. Once the contract is drafted, it will route through OSPI’s internal approval process which can last

2-3 weeks. Robin Howe, the project manager for this proviso, will be accessible to the

Apparent Successful Bidder through the whole process.

No questions or responses included in this document require any changes to the solicitation document; this document stands alone.
