Text version
1. 1. Schedule and Frequency
▪ What specific days and times would be most convenient for the pickup and drop-off of the uniforms?
Mondays and Thursdays-drop off and picks ups on those days.
▪ Is there a preferred frequency for the dry-cleaning service (e.g., daily, weekly, Monday, Friday)?
Every single time vendor takes/picks up clothes, they are to be laundry and dry cleaned.
2. 2. Uniform Types and Quantities:
▪ Can you provide a list of the types of uniforms that need to be cleaned
(e.g., shirts, pants, jackets)?
Gray dress pants ( male / female ) White Dress shirts ( male / female ) and blue blazers ( male / female )
▪ How many uniforms of each type will need to be cleaned weekly for the 20 staff members?
3-4 sets per employee per pickup. We average 15-22 employees, right now we have 16 but when fully staffed 22.
3. 2. Special Instructions and Alterations:
▪ Are there any specific instructions for handling certain types of uniforms or materials?
No standard laundry and dry cleaning.
▪ Will alterations or repairs be needed for any of the uniforms, and if so, what types of alterations are typically required?
Most common are buttons that is all, any damaged uniforms will be replaced by cemetery no need to fix/repair or alter.
▪ Are there any additional services or specific requirements beyond dry cleaning that we should be aware of, such as laundering or pressing?
We are requesting Laundry/Dry cleaning/Ironing-press, same thing as if I go to a regular dry cleaning establishment.
4. 3. Additional Services or Requirements:
▪ Do you have any preferences or requirements regarding the eco-friendliness or sustainability of the cleaning process?
No
▪ Are there any specific instructions or preferences regarding the use of particular cleaning products or chemicals?
No, just like any other establishment use most common practices/supplies.
▪ Are there any emergency or rush cleaning needs that may arise, and if so, what is the protocol for addressing them?
No
▪ Do you have any specific preferences or requirements for the packaging or presentation of the cleaned uniforms upon return?
No, all we ask for the same services a regular dry cleaning establishment provides, hangers/caring bag/plastics bag to go over items ect.
▪ Is there a specific billing process or invoicing system that we should adhere to? (Weekly, Bi-weekly, Monthly) Vendor will use Tungsten for billing per regulations on a monthly billing basis. Contract would be for total of 5 years if awarded.
• Your statement of work mentions the sets of articles of clothing per staff member but does not mention the number of staff members there are.
That number can very between 15 and 22 depending on if we are fully staffed.
• The continuation sheet shows items listed as months of performance.
For billing purposes, we have made it that way. To expedite payment and make it easier for when vendor submits invoice into Tungsten, we rather have a solid number, I have seen vendors have issues billing when it is done for each single item.
• Please amend the statement of work to show how many Cemeteries Representative and Program Support employees’ staff uniform sets are being cleaned for an accurate proposal. I.E., uniforms for 20 employees a week etc.
I cannot give you and exact number since employees come and go, to keep things flowing we rather pay for one job and not item.
• Also, will any new employees or loss of employees change the number of items and the price per month?
Yes, it will, so if vendor wants to bid those are our terms.
