About this file
This is a Questions and Answers document for RFP 22-021 issued by Houston County Schools regarding accidental damage warranty services for student computing devices. The Q&A clarifies proposal submission requirements, specifying that bidders should submit two copies of the technical proposal and one copy of the financial proposal. The district requires weekly pickup and delivery of devices Tuesday through Thursday at each individual school location, with spare device pools maintained at each school building rather than at a central location. The service level agreement requires 75% of all repairs to be completed within seven calendar days, though bidders may submit alternative pricing for 90% completion within ten business days. The RFP encompasses multiple device models for both primary student use and classroom emergency spares, including HP G5, G6, G8, and G9 models; Lenovo 300e devices; and Dell Latitude models, with device values ranging from $240 to $1,900 per unit.
The financial proposal should specify exact product model numbers and corresponding unit values as provided in the Q&A response, which lists valuations for each device type from $240 for HP G5 and G8 models up to $1,900 for the Dell Latitude 5420 Rugged. The HP G5 14" and HP G6 14" devices designated as spares are intended exclusively for classroom emergency use when students forget their primary devices or experience battery failures, and these devices will remain in classrooms rather than circulating. Bidders may submit pricing for alternative service level agreements and should note any deviations from the specified seven-calendar-day repair completion timeframe.
