About this file

This document is a Request for Proposal (RFP) Solicitation No. BPM003587 issued by the Arizona Department of Administration State Procurement Office on behalf of Arizona State Parks & Trails (ASPT). The solicitation is seeking a comprehensive reservation, point of sale, website, and call center system to support operations across Arizona's state park system. The procurement involves multiple potential contractors and is open to both full-system and partial-system proposals.

The contract seeks a centralized reservation system (CRS) with integrated capabilities including online and call center reservations, point of sale management, inventory tracking, event management, and an operational website. The system must support reservations for campsites, cabins, tours, day use areas, and other park amenities across 30+ state parks. Pricing may be structured as either a flat fee or a per-transaction fee, with preference given to transaction-based pricing. The contract has a five-year term with potential extensions, and includes optional services such as a mobile application, self-pay kiosks, geofencing, and a visitor rewards program. The total system must be PCI compliant, support multiple payment methods, provide comprehensive reporting, and integrate with existing state technology infrastructure.

2.4 Parks: The implementation is for the parks listed below in section 2.6, Existing Reservation Facilities, which includes two new parks currently being developed (Havasu Riviera and Rockin’ River Ranch) and the expansion of the Upper Loop campsite at Cattail Cove. The Contractor shall develop and deliver a CRS that is expandable in such a manner to allow adding to the existing properties and amenities (e.g. cabins, boat rentals, etc.) in the CRS regardless of management and oversight authority (refer to Exhibit 1 Map).
